About the role

Your Opportunity:

Public Health, CDC & Screening is currently recruiting for an Administrative Support V position to join the Communicable Disease Control (CDC) program.

This is an advanced in-scope leadership position, ideal for a highly organized and proactive professional. The successful candidate will also provide advanced administrative support to the program manager, associate manager, and/or director, and serve as a key resource for department staff.

Key responsibilities include:

  • Providing leadership and mentorship to other administrative support staff.
  • Managing complex and high-volume administrative workloads.
  • Overseeing staff schedules and task assignments.
  • Troubleshooting and resolving operational issues and system challenges.
  • Supporting meeting preparation and follow-up.
  • Managing email communications and information flow.
  • Handling financial processes, including invoicing and expense claims.
  • Developing and maintaining orientation and training materials.
  • Providing payroll coordination and support.

This role requires someone who thrives in a fast-paced, dynamic environment. Strong communication and customer service skills are essential, along with the ability to prioritize, think critically, and manage conflict effectively. The successful candidate will be detail-oriented, self-directed, and able to work independently while also fostering teamwork across the CDC program.

The position requires the ability to work on-site and in-person at your assigned CDC office on a rotational basis. This position will be part of Primary Care Alberta effective November 18, 2024. Required Qualifications:

Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications:

  • Minimum of one year of recent experience (within the last two years) providing administrative support in a Communicable Disease Control (CDC) program (notifiable disease reporting, outbreak management, or immunization program support).
  • Advanced proficiency with Microsoft Office applications, including Word, Outlook, PowerPoint, Visio, Teams, SharePoint, and Excel, specifically with functions such as formulas, pivot tables, and data manipulation, in a fast-paced, professional environment.
  • Demonstrated in-scope leadership experience leading and managing administrative support teams, including task delegation.
  • Proven ability to support senior leaders (managers and directors) with a wide range of administrative and coordination duties.
  • Experience using health systems and tools such as Netcare, Connect Care, CDOM, and ESP.
