Explore your next role:

The Technical Records Administrator- Team Lead is responsible for maintaining accurate and compliant aircraft technical records for both customer and company fleets at Voyageur Aviation Corp. This role ensures precise documentation, data entry, and verification of technical records in accordance with Canadian and foreign aviation regulations. The Technical Records Administrator – Team Lead assists the Technical Records Supervisor with providing guidance and mentorship to junior Technical Records staff and plays a key role in quality assurance, and compliance auditing, to enhance efficiency and adherence to industry standards.

Process and Compliance

  • Maintain and update aircraft technical records in full compliance with regulatory and company requirements.
  • Review and enter journey logbook pages for customer or company aircraft as required, ensuring accurate flight time, cycles, and APU updates.
  • Communicate with Dispatch when required to ensure journey log page data accuracy and update to APU hours and cycles.
  • Conduct audits on technical records and work packages, verifying accuracy, legibility, and completeness.
  • Log and track errors using the Quality Control Audit Reporter database.
  • Collaborate with the Aircraft Certifying Authorities (ACA’s) to investigate and resolve discrepancies in documentation.
  • Create and manage Line-Planning, Routine, Non-Routine, and AWR tasks in CMP, ensuring proper numbering alignment between digital and paper records.
  • Regularly reference CPP documentation: Aircraft Maintenance Schedules, LMB Reference Guide, Maintenance Control & Policy Manual, Standard Maintenance Procedures, DHC 7 - Aircraft Maintenance Program and TOD's.
  • Communicate with Director of line Maintenance (Airways), Manager, Line Maintenance and the Fleet Manager for approval for Aircraft Extensions and AWR requests.
  • Accurately transcribe and enter technical documentation into the CMP system.
  • Ensure proper documentation and traceability of aircraft components by verifying certificates and setting up new components in the system by researching and verifying part numbers, serial numbers, and component positions, requesting missing information as needed.
  • Ensure accurate tracking of parts, inspections, and component replacements within the CMP system.
  • CMP documentation of tech log entry tracking for AD's, CF's, STCs, REOs, EOs, RDs and SBs.
  • Submit completed task cards to Logistics Support Services (LSS) for processing.
  • Verify and complete Modification Reporting Forms.
  • Complete technical logbook entries for major components, including APUs, engines, and propellers.
  • Provide training and mentorship to team members, fostering accuracy, efficiency, and regulatory compliance.
  • Audit team members’ work to ensure adherence to company policies and aviation regulations.
  • Offer continuous feedback and process improvements to enhance documentation standards.

Administrative

  • Serve as a primary point of contact for inquiries from the Supervisor, Technical Records and ACAs.
  • Manage communications, including email correspondence and phone inquiries.
  • Generate and distribute work order control reports and future maintenance forecasts for operational planning.
  • Effectively coordinate the distribution of work loads amongst the team according to estimated task timelines, aircraft delivery schedules, and team availability.
  • Verify forecast accuracy and provide work order and task numbers for upcoming inspections and component replacements every 10-14 days.
  • Generate forecast reports following heavy maintenance events.
  • Organize and maintain digital and physical records for all completed work.
  • Sort and reconcile Comat (originals) against digital copies before archiving into SharePoint.
  • Ensure proper filing and archival of digital copies of completed work packages until originals (physical copies) are received and finalized.
  • Scan, categorize, and store all completed journey log pages, task cards, and cost centers in SharePoint, ensuring proper backup and retrieval systems are in place.
  • Monitor and manage office supply levels, placing orders as necessary.
  • Perform additional tasks and projects as assigned by the Director, Quality Control, Manager Quality Control, or Supervisor, Technical Records.
  • Facilitate the delivery of customer records.

Your Distinctive Ingredients for Success:

  • Secondary school diploma required.
  • Post-secondary education in an administrative or related field considered an asset.
  • Minimum of 3 years of administrative or related experience.
  • Reliable, responsible, and self-motivated with strong problem-solving skills.
  • High attention to detail and accuracy.
  • Strong organizational and interpersonal skills with the ability to multitask, prioritize, and work under pressure.
  • Excellent oral and written communication skills.
  • Proficient in Microsoft Office 365 and quick to learn new technologies (e.g., systems, platforms).

Location and other Key Details:

  • You will work out of our North Bay head office.
  • Hours of work are a regular 40-hour work week, Monday to Friday.
