About the role

The Department of Biological Sciences within**** the Faculty of Science invites applications for a Conference Marketing Coordinator. This Recurring Part-time position is for approximately 3 months (based on length of grant funding), with the possibility of extension.

Hosted by the Sustainable Futures Lab at UCalgary, Take Back the Future is an international, virtual "Ungress" exploring bold and regenerative futures for our cities, communities, and planet. Students from around the world will collaborate in creative teams to imagine far-future scenarios and co-create innovative visions for Sustainable Futures.

The team leading the event is seeking a Conference Marketing Coordinator to support its planning and execution, with a focus on developing and managing digital assets and platforms to support student engagement, registration, communication, and participation. The ideal candidate is a strong communicator, creative thinker, and highly organized with demonstrated competencies in website development, social media strategy, and virtual event management.

This opportunity is (approximately 11 weeks, 35 hours/week) and is suitable for Work Integrated Learning.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Event platform management: Support the event team to set up and manage the online event management platform to ensure smooth, efficient registration and attendee communication.
  • Event promotion: Contribute to the development and execution of a social media strategy to promote the event, raising visibility with a broad spectrum of students both domestically and internationally.
  • Website management: Help update and maintain the event website to keep details accurate, engaging, and easy to navigate.
  • Event execution: Work collaboratively with the team to ensure smooth execution of asynchronous and synchronous activities throughout the week of the event that engages participants and delivers on the congress' mission to engage in collective imagination and build global connections.
  • Post-event wrap up: Assist in preparing post-event reporting, attendee follow-up collaterals (e.g. certificates), and plenary panel acknowledgements.
  • Sustainable Futures Lab support: provide broader marketing support for the new/emerging Sustainable Futures Lab, a collaborative initiative that works with students, community associations, town and city councils, neighbourhood committees and other groups to address issues of common interest.

Qualifications / Requirements:

  • Post-secondary education in Communications, Marketing, Public Relations, Journalism, Digital Media, or a related field is strongly preferred.
  • Experience in a marketing, communications, or design support role is preferred.
  • Experience with virtual event coordination and logistics support is an asset.
  • Ability to write and edit content for a variety of platforms (web, email, social media, print), with skills to adapt tone and style is preferred.
  • Experience with Squarespace, Adobe Creative Cloud tools (e.g., InDesign, Illustrator, Photoshop), or other design tools like Canva. Familiarity with online event management tools; such as Circle.so, Whova or similar platforms is an asset.
  • Ability to take direction and work collaboratively.
  • Strong organizational skills and attention to detail with the ability to manage multiple tasks and deadlines.
  • Strong written and verbal communication skills.
  • Interpersonal skills and ability to work effectively with diverse stakeholders in a collaborative team environment.
