OR Patient Services Booking Clerk

Job Summary:
In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. The Operating Room (OR) Patient Services/Booking Clerk in collaboration with the Operating Room Clinical Nurse Leader, performs a variety of clerical functions relating to the booking, assigning, and admission of surgical patients to the Operating Room. Responsibilities include scheduling the OR slate and performing data entry related to scheduling on a daily basis. Duties also include transcribing physicians’ orders as well as preparation and maintenance of patient charts. All duties are performed within established guidelines, policies, and procedures.
Duties/Accountabilities:

Schedules surgical day care patients using a computerized software program. Obtains patient information such as patient name, type of surgery, attending physician. Assigns patients to the OR slate according to type and expected duration of surgery. Adjusts initial slate according to new information as required.

Runs an electronic OR slate from a computerized software program each day and sends it to designated departments. Communicates with patients, physicians’ offices and other departments via telephone, paging system, or fax in order to notify them of adjustments and/or changes made to the OR slate.

Reviews completed OR Records (surgical data base form) and reports any errors or omissions to the OR Perinatal Clinical Educator. Enters the data into the computer and produces reports as required.

Reviews surgical patients’ file for documentation such as Pre-natal records, laboratory tests and Ultrasound reports prior to admission to hospital. Calls the Physician’s office and alerts them of missing documentation.

Admits surgical patients upon arrival to the hospital to the OR area by re-confirming patient information, finalizing and preparing the chart for surgical daycare nurse.

Coordinates with the admitting clerk to book beds for the surgical inpatients.

Processes physicians’ orders by transcribing information from order sheets to Kardex, medicine cards, and requisitions, or by entry of information into computerized laboratory system.

Assembles, collates, and maintains patient charts by performing such duties as imprinting chart forms, making identification labels, filing records and retrieving previous records from Health Records or other departments.

Enters patient information into the Admission, Discharge Transfer (ADT) database system for pre-registration, admission, transfer, and discharge.

Performs other related duties as assigned.
Qualifications:
Education, Training and Experience
- Grade 12, medical terminology and graduation from a recognized Nursing Unit Clerk program plus one year’s recent related experience or an equivalent combination of education, training and experience.
Skills and Abilities
- Ability to keyboard at 40 wpm.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Ability to organize work.
- Ability to operate related equipment.
- Ability to utilize a variety of computer software applications.
- Physical ability to carry out the duties of the position.
