First Year Experience Program Coordinator, Student Experience and Support
About the role
The **Centre for Career & Personal **Development in Student Experience and Support is currently seeking a Full-time Limited Term First Year Experience Program Coordinator for approximately 24 months.
The First Year Experience (FYE) Program Coordinator reports to the CCPD Manager Operations, and works in close collaboration with the Specialist, New Student Program. The FYE Program Coordinator plays a critical role in planning, organizing, and delivering programs and initiatives that support a transformative first year experience and an increased sense of connection and belonging for incoming undergraduate students at the University of Calgary. The role requires active partnership with Specialist, New Student Programs and collaboration with campus partners, ensuring smooth transition into First Year programming from pre-Orientation and Orientation programming.
The regular workday is Monday to Friday, 8:30am-4:30pm, however, due to the nature of this job, the Program Coordinator is required to work flexible hours with occasional evening and weekend work required, especially during peak periods.
Summary of Key Responsibilities (job functions include but are not limited to):
- Work cooperatively with the New Student Programs Specialist in research, planning, facilitating and evaluating FYE programs and services.
- Stay informed on provincial and national trends in orientation/transition/first year experience to incorporate evidence-based student experience practices.
- Develop and maintain comprehensive program documentation, processes and materials to ensure accuracy and relevancy.
- Maintain First Year Resource Guide (D2L) as a platform to inform and connect students with up-to-date information relevant for a supportive first year experience.
- Collaborate with Specialist, New Student Programs and other campus partners to develop social and interactive activities to foster campus belonging.
- Provide event logistics support of FYE programs and services. Including, but not limited to: FYRG, Ask Me, Unwind, Camp Lead, Campus Expo.
- Schedule room and facility bookings, and material/supplies and audiovisual requirements for workshops, programs and events.
- Engage with vendors for quotes, booking, scheduling.
- Track materials and supply requirements and keep inventory updated.
- With the support of First Year Experience Student Assistant, deliver First Year Experience programming.
- Lead development of student volunteer requirements and recruitment planning, support management and training of volunteers for Orientation, event support, and Ask Me programming. Support staff volunteer recruitment and training.
- Provide support to event promotions via social media, updating posters and contributing to newsletters; develop and edit communications and publications, including web and print material, and email messaging.
- Oversees and supports event set-up, take-down, clean-up.
- Must be available for off-campus, overnight/multiple overnight stays.
- Manage tracking and storage of event supply inventory.
- May have to lift up to 25 pounds as related to event and programming duties.
- Administer surveys, collect and summarize feedback and make recommendations for improvements to events, and support post-event evaluation process.
- Provides statistical and data entry support for program evaluation and assessment.
- Respond to email inquiries in a timely manner to effectively answer questions from clients.
- Represent CCPD to promote FYE programs and services at on-campus events at SES and institutional events.
- Maintain accurate and confidential records and metrics following POPA guidelines.
- Participates fully in onboarding activities, recommended training and opportunities to immerse self in CCPD and campus culture.
- Follows university policies and procedures.
Qualifications / Requirements:
- Undergraduate degree with 1-3 years related experience working in the post-secondary setting with a focus on student service and student life programming.
- Paraprofessional experience (Peer Helper, part-time student staff experience while in University) will be considered.
- Demonstrated passion to enhancing the student experience, with an understanding of the unique needs of first year students.
- Experience with small to large scale event planning and coordination is required.
- Experience and comfort with technology, including working with D2L, Qualtrics, running reports, and troubleshooting software issues is considered an asset.
- Experience with the provision of student services in the high school or post-secondary setting considered an asset.
- Strong customer-service mindset is required.
- Ability to work independently and collaboratively in a team environment is required.
- Able to demonstrate effective team skills such as listening, sharing information, and supporting a positive team culture is required.
- Demonstrated commitment to exceptional, proactive student service is required.
- Demonstrated strong presentation, written and verbal communication skills.
- Demonstrated problem solving skills.
- Ability to plan for and efficiently manage multiple tasks and priorities under the pressure of tight deadlines.
- Ability to handle competing responsibilities and determine priorities.
- Ability to facilitate group discussions and foster participation and engagement.
- Highly organized with strong attention to detail.
- Knowledge of the University of Calgary processes and procedures is desirable.
