Job Brief:
The Front Desk Administrator is the first smile at the door and on the phone – this role brings along the satisfaction of being the first point of contact with all our patients and creating an engaging patient experience. This role is pivotal to the functionality and organization of the clinic. This individual must be energetic, proactive, and positive.
This role is the heartbeat of our clinic—responsible for managing the front desk, supporting clinicians, and maintaining operational flow. You’ll be the first point of contact for patients and an essential link between practitioners and administrative teams.
Key Responsibilities:
✔ Greet and assist patients with warmth and professionalism
✔ Manage patient intake, check-ins/outs, and appointment scheduling
✔ Maintain accurate records and patient files
✔ Process payments and insurance claims, including extended health benefits
✔ Provide reminders, follow-ups, and ongoing communication with clients
✔ Support compliance, documentation, and audit preparations
✔ Coordinate practitioner calendars and clinic resources
✔ Ensure the front desk environment remains clean, organized, and efficient
✔ Collaborate with cross-functional teams including billing, HR, and operations

There are a multitude of different types of intervention services our team provides including: home/vehicle accessibility, equipment prescription, community safety/reintegration, wheelchair positioning/ seating prescriptions, activities of daily living (ADL) re-training/ functional restoration programming, cognitive remediation/compensatory therapies, cognitive behavioural therapy, quality of life and return to modified sport programs. Our team is additionally skilled in vocational services, including return to work programs, work-site, vocational exploration and ergonomic assessments.
