Role Level: Admin Clerical (AC05-$28.42-$35.54)

Status: Full Time

Site: Credit Valley Hospital

Hours of Work/Shifts: Monday-Friday (0730-1530)

A high achieving, self-motivated individual with exceptional organizational skills and demonstrated commitment to customer service and collaborative teamwork will excel in this position. You must possess the ability to work in a fast-paced and constantly changing environment. You are proactive, dynamic, and able to anticipate the needs of those you support without waiting for instruction. You will support the Renal Program across all Renal sites (CVH, MH, South Mississauga Dialysis Center, and Renal Care Centre). The successful candidate will be based at CVH site.

Qualifications:

  • Community College (Business) Administrative Diploma or equivalent experience in a similar role
  • Medical Terminology
  • Strong computer skills, including MS Word, Outlook, Teams, Excel, PowerPoint, Microsoft 365
  • Strong organization and prioritization skills
  • Proficiency in supply management processes, staff scheduling, Materials Management, unit Admin support, procurement of equipment, supplies, and services
  • Proficiency in Epic clerical functionality
  • Excellent interpersonal communication and conflict resolution skills
  • Demonstrated ability to be flexible, self-directed and able to work independently and in a team environment
  • Strong attention to detail
  • Good attendance and performance required Related experience in Renal an asset

Responsibilities:

  • Working with the leadership team to support daily operations of the program
  • Management and daily maintenance of department files (digital and physical)
  • Document creation (digital and physical) using MS Office, Excel, Microsoft 365
  • Assisting in clerical staff scheduling
  • Supporting managers/supervisors with recruitment and onboarding activities
  • Assistance with meeting preparation, e.g. room bookings, prepare agendas and meeting minutes, as required
  • Maintenance of weekly, monthly, and annual documents, e.g. emergency preparedness documents, monthly quality reports, scheduled clinical activities
  • Maintenance of safe work area, completion of monthly unit workplace inspections, follow-up on action items and completion and follow-up of work orders
  • Collaborating with stakeholders for procurement of equipment, services, repairs
  • Mentorship to clerical staff, including standard work and Epic functionality
  • Upkeep of manuals, pamphlets, documents for patients and staff
  • Ordering supplies, medical and office
  • Oversight of clerical student placement program with colleges
  • Timecard management and electronic scheduling management Additional duties as required
