What we are looking for:

Under the supervision of the Manager, Client Service and Support, the Client Onboarding Specialist is primarily responsible for providing a very high quality, personalized service to our private wealth clients and supporting portfolio management and investment management activities as well as the business development of private portfolio managers. As a member of the private management team, the incumbent will also be asked to assist other team members in their tasks.

Your responsibilities:

  • Partner with the sales team to determine the unique needs and requirements of each client and develop an onboarding strategy;
  • Oversee the onboarding of assigned new clients by coordinating across relevant departments (compliance officers, operations and portfolio administration personnel);
  • Support clients through the account opening process with Fiera Capital along with the custodians to ensure we offer a best in class experience;
  • Work with relevant parties to review and enhance onboarding standards to continue to meet regulatory requirements;
  • Support senior Investment Counselors with all on-going sales, service and communication with prospects while ensuring that all reports and documents presented reflect information that is both complete and of the highest quality, and are produced within the required timelines;
  • Quickly respond orally and in writing to new client inquiries;
  • Setup, termination, maintenance, and validation of account portfolio information on accounting systems & internal systems;
  • Liaise with the billing department to set up new client billing profiles;
  • Record and update client contacts and other related information in the appropriate CRM system;
  • Provide business related support for applications related to the maintenance of data for the firm;
  • Update existing accounts in our systems and other departments;
  • Coordinate and send compliance documents and disclosures to new and existing clients;
  • Coordinate various administrative tasks and ensure appropriate follow up;
  • Participate or lead the testing and implementation of operational enhancements and special projects.

Must have requirements to be successful in this role:

  • Bachelor’s degree in Business Administration, Commerce or related field;
  • Enrollment or completion of IFIC/ CSC is an asset.
  • Minimum 5 years of relevant experience in a client service or portfolio administration support function;
  • Previous experience within the financial services industry;
  • General knowledge of the investment industry and financial markets;
  • Exceptional interpersonal skills and customer service;
  • Results-oriented, ability to work under pressure and manage priorities;
  • Strong analytical skills and attention to detail;
  • Ability to work independently but also essential to be a team player;
  • Advanced knowledge of Microsoft Word, Excel, PowerPoint and Outlook;
  • Proficiency with Salesforce would be considered an asset;
  • Excellent verbal and written communication, fluency in French is an asset.
