SUMMARY OF RESPONSIBILITIES

We are seeking a permanent, full-time Corporate Services Assistant to provide support to the Corporate Services team. Working as part of a collaborative team, you will:

Provide assistance with the annual renewal process;

Provide general administrative support to the Corporate Services team;

Open and sort correspondence from the Registry of Joint Stock Companies;

Record billable time;

Prepare and sort pre-bills and invoices;

Attend to general inquiries from clients;

Open and close Corporate Services files;

Attend to the review and delivery of mail received on behalf of corporate clients;

Organize and maintain physical and electronic corporate records, including minute books and seals;

Provide assistance relating to audit response requests;

Provide assistance with due diligence requests and Personal Property Security Act registrations;

Other duties as assigned.

SKILLS AND QUALIFICATIONS

Minimum of 1-3 years’ administrative experience in a legal environment;

Preference is given to those with related paralegal/legal assistant formal education;

Ability to work independently, follow instructions with minimal supervision and take initiative;

Demonstrate exceptional attention to detail;

Strong competency in the usage of MS Office (particularly Word and Excel);

Possess strong organizational and time management skills;

Ability to use good judgement and be resourceful;

Ability to communicate in a professional manner with colleagues and clients;

Willingness to learn and contribute to the team;

Experience with REGIS or RJSC Connect, an asset;

Experience with electronic database management, an asset;
