Shaw is currently seeking an Events Coordinator for Winnipeg reporting to the Manager, Event Sales Sales.
• Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate décor within our brand standards with the primary intent to drive sales. • Track and gather event results data for reporting event success. • Conduct research, make site visits, and find resources for new event opportunities. • Create and design room layouts for each event. • Propose new ideas to improve the event planning and implementation processes • Serve as liaison with vendors on event-related matters. • Assist with managing on-site set-up and clean up for events as necessary. • Prepare all event materials, signage, swag, services etc. • Attend larger events as required to ensure branding standards are maintained. • Assist with preparing budgets and provide periodic progress reports to leadership for each event. • Keep track of event finances including check requests, invoicing, and reporting. • Coordinate appointments, site visits, and scheduling of events on the calendar. • Organize/maintain event materials & signage through inventory and ensure replace defective material • Create marketing briefs for new event material or signage requests. • Various other duties as required.
Required Skills, Experience and Qualifications:
• Excellent verbal and written skills, with a strong ability to coordinate multiple people to get the job done while maintaining exceptional relationships with all involved. • Ability to manage multiple projects and work assignments with an organized approach • Create and maintain strong working relationships easily with a variety of staff and vendors. • Provide creativity in projects, but able to follow and recognize specific brand standards in order to maintain the Shaw brand standard. • Excellent interpersonal skills both in person and by phone, with high professionalism. • Ability to accomplish projects with little supervision. • Experience with direct sales marketing and communication tactics. • Fantastic customer service ethic and high expectations for quality. • Post-secondary education in event coordination preferred; significant work experience can substitute. • Some travel may be required depending on event and location. • 3-5 years of experience in event planning or leadership preferred • Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches.
