About Our Client

Our client, a privately owned Canadian company that provides generators and maintenance service to condos, hospitals, water companies, research labs, schools and grocery stores operate on integrity and honesty as their core values.

Working with the President of the company, the Maintenance Scheduler is responsible for the scheduling of generator maintenance and repair work, including coordinating client service job requests, updating work order instructions, and communicating with Technicians.

The Maintenance Scheduler will ensure resources are allocated appropriately to meet the client’s timelines.

What you’ll be doing:

Schedule Monthly Maintenance Service Activities

  • Review and complete monthly maintenance schedule at least six weeks in advance of the month due Assign Technicians to service jobs, appropriate to service activity requirements
  • Include the list of service tasks in the work order to ensure adequate time is allocated for each job
  • Assign proper load banks & cabling to each service activity
  • Ensure all generators are serviced as required within the month the work is due
  • Create recurrences of the maintenance work

Schedule Daily Service Activities

  • Contact customers to confirm and reserve the daily tentative service activities, verifying that all contact information is updated, as needed
  • Interact with customers to meet their needs and requests, resolving complaints as they arise
  • Follow up and send reminders to clients on their upcoming service appointments and re-schedule tentative service activities to a more convenient time for customer
  • Re-schedule incomplete service activity or multiple day work
  • Schedule weekend work for Technicians
  • Maintain daily communication with Technicians for scheduling issues and problem resolution, making corrections as required in a timely manner
  • Ensure all service activity work orders are processed for invoicing

Service Activity Administration

  • Generate work orders for each maintenance service activity due the following day
  • Confirm that billable amount on work order is correct, verifying contract amounts and contract increases
  • Confirm that maintenance materials are listed on the work order and update service schedule quotes as needed
  • Other duties as assigned.

What we require:

  • 3-5 years’ experience in a similar role is an asset
  • Knowledge of basic generator operation and testing procedures is an asset
  • Ability to work with scheduling application/software
  • Strong customer-service orientation
  • Effective interpersonal and communication skills
  • Demonstrate commitment to professionalism, integrity, and sound judgment
  • Analytical and inquisitive skills, with the ability to make decisions and problem solve quickly
  • High attention to detail
  • Strong sense of urgency to follow through on tasks
  • Ability to manage multiple competing priorities
