The Role

We are currently seeking a Plant Administrator to be based in our Edmonton (6907 36th Street) manufacturing facility. Reporting to the Plant Manager, the Plant Administrator is accountable to provide administrative support to the plant, including Accounting, Human Resources, and Production-related administrative duties.

Duties & Accountabilities

Accounting & Inventory Administration

  • Review and forward invoices to Corporate Accounts Payable, working with procurement team to review and resolve any A/P issues
  • Accountable for bank accounts, petty cash, p-cards including local plant credit card accounts, and processing locally required checks;
  • Issue, process, review, and reconcile all production orders, correcting errors, executing work order closeout, and distribute reports as required
  • Partner with Finance team to process monthly accruals of expenses
  • Process reported labor/material and enter work orders
  • Research questionable receiving reports as required
  • Liaise with Regional Finance representative to distribute inventory count sheets and reconcile cycle counts for accuracy
  • Research questionable receiving reports as required
  • Process scrap and rework tickets
  • Administer intercompany transfer process, including receipts and shipment
  • Assist with monthly raw material inventory counts where required

Human Resources Administration

  • Support hourly employee recruitment processes, including forwarding applications to Corporate HR team, coordinate interviews as required, and schedule pre-employment candidate testing on an as-needed basis
  • Support employee orientation processes by compiling new hire documentation and orientation materials
  • Provide documentation and information to employees regarding benefit and wellness programs, as well as contact information for internal resources as well as benefit providers and third party leave administrator(s)
  • Maintain currency of onsite employment related postings including legislative requirements and employment postings
  • Site point of contact for Unemployment Insurance claims, forwarding documentation to Corporate HRBP as required
  • Provide documentation and information to employees regarding benefit and wellness programs, as well as contact information for internal resources as well as benefit providers and third party leave administrator(s)
  • Point of contact for local HR-related inquiries, including policy, pay, benefit items, directing employees to Supervisor or HR Business partner as appropriate for escalations or complex inquiries
  • Coordinate locally administered programs including immunizations, employee safety shoes, service award distribution as applicable
  • Point of contact for local employment related documentation and file maintenance, ensuring aged documentation is transferred to long-term storage as appropriate

General Office Administration

  • Point of contact for site administrative items including bulletin boards, Corporate policy and informational postings etc.
  • Generate and issue Manufacturing package to the shop floor
  • Accountable to provide first level customer service to plant visitors, escalating as required
  • Process incoming mail, scan and forward to appropriate internal parties
  • Coordinate local functions including holiday celebrations, luncheons, etc.
  • Provide clerical and administrative support to local management but not limited to report generation, and data entry / analysis
  • Maintain office equipment and supplies, procuring items as needed and through appropriate channels, including break room supplies
  • File QHSE documents where required
  • Maintain on site files as per the file retention policy
  • Assist with generating and maintaining monthly Power Point presentations
  • Other administrative duties as assigned


  • Post-secondary certificate in Office Administration or related discipline from accredited post-secondary institution

Administrator Expertise

  • Minimum 2 years’ directly related experience providing administrative support to local and corporate departments within a manufacturing/ production environment
  • Working knowledge of Microsoft Dynamics AX or similar ERP systems required

Knowledge, skills, and abilities

  • Self-motivated, with strong organizational skills
  • Strong computer skills, including the use of word processing and email as well as the intermediate use of spreadsheets, electronic presentations and databases
  • Demonstrated organizational, communication, research and analytical skills.
  • Ability to develop positive working relationships with customers and coworkers
  • Meticulous/strong attention to detail
  • Strong communication skills (verbal/written); conversant French/English an asset
  • Strong prioritization abilities and flexibility to address emergent requirements
