Taggart Realty Management has a consistently large number of new projects being developed at one time, each at varying stages of the construction process. The projects are focused in the Ottawa and Kingston marketplaces. As we continue to build on our real estate development strategy, we are currently looking for a candidate in the role of Residential Property Manager to provide support to the operations teams throughout various properties.

Work Description

The Residential Property Manager is responsible for the day-to-day management and financial management for 4 residential apartment buildings and one attached office building by following a consistent approach as used by the property management team. This is a full-time permanent position with an expected start date of November 2020.

Major Responsibilities:

Residential Property Manager

  • Oversee daily, weekly, monthly and annual cycle of property management for residential and commercial buildings.
  • Preparation and administration of annual operating budgets, assist with capital budgets for each property, and preparation of monthly and quarterly reports and re-forecasts as needed.
  • Collection of tenant rents as required.
  • Co-ordination of property maintenance and building maintenance, observing all budget allocations.
  • Maintain familiarity and activities of each property and its impact on tenants.
  • Work with suppliers and staff to ensure that all required services are being performed.
  • Optimize properties value and return on investment by ensuring effective expense control and operating costs by maximizing in-house staff.
  • Ensure compliance with any and all applicable government regulations.
  • Provide direction for staff and contractors in meeting established property standards.
  • Visit all buildings on a weekly basis to ensure a high level of tenant satisfaction and confirm that esthetic and safety standards, and building quality are maintained.
  • Perform monthly common area inspections creating a task list of action items.
  • Manage, direct and motivate Building Operators, Administration, Rental Consultant, and Maintenance Staff.
  • Ensure maximum level of customer service to residents is provided, responding to and addressing resident complaints and concerns.
  • Handling of emergency situations.
  • Review of payables to ensure accuracy and completeness and approve within authority level.
  • Assist with leasing and marketing efforts, as required for minimizing unit vacancy by proposing rental, vacancy, and rental incentives.
  • Establishing a structure for the corrective maintenance for each of their buildings
  • Visit vacant units regularly to ensure they are show ready.
  • Ensure preventative maintenance is scheduled and completed.
  • Ensure repairs and maintenance requests meet budgetary and operational expectations. Report and follow up on variances.
  • Managing building service contract performance to ensure prudent, cost-effective practices are constantly observed.
  • Oversee major construction initiatives with the project manager and provide routine update to the investors or other related parties.
  • Ensure suites on turnover and complete a scope of work is consistent with established policies and procedures. Ensure follow-up for all deficient items identified are addressed in timely manner.
  • Authorize work and purchase orders to approved limits. Review and approve invoices according to standard policies and procedures.
  • Initiate follow-up where payments are not made and initiate and attend to legal and collection when necessary. Be responsible and accountable for all accounts receivable.
  • Maintain occupancy and rental income levels which comply with budgeted expectations.
  • Work with Vice-President and Operations Manager to establish annual strategy for the property, building upgrades, and resident retention initiatives. Support in the long-term building maintenance strategy
  • Keep abreast of any changes in property management standards, new applications, trends and ideas. Focus on innovation and new technology. Provide suggestions on how we can better manage our portfolio.
  • Ensure all vendors and contractors comply with the established health and safety policy, and immediately address any infractions, hazardous conditions, or damaged equipment.
  • Work along side the development team during the development of new buildings.
  • Work with the development team to resolve and construction and/or tenant fit up deficiencies.
  • Other duties as assigned.

Statement of Qualifications:

Knowledge, Skills and Abilities:

  • A minimum of three to five years experience as a Property Manager, with experience in high rise apartment building management and commercial/retail.
  • A minimum of two years experience in a management/leadership role, guiding and leading employees and contractors.
  • Working knowledge of commercial office property management operations and processes would be an asset.
  • Must know and understand the terms and conditions of commercial and residential leases as well as have working knowledge of the Ontario Residential Tenancies Act
  • Completion of a post-secondary program with an emphasis in Property Management, or related field.
  • Experience preparing and administering annual operating budgets and preparing monthly and quarterly reports through full budget/fiscal cycle.
  • Excellent interpersonal and communication skills. The ability to actively listen and resolve conflict and foster understanding is essential in this role.
  • Well-developed computer skills using Microsoft Suite.
  • Self-motivated, adaptable and decisive with a hands-on approach.
  • Experience in Yardi would be an asset.
  • Fluency in both official languages would be considered an asset.
  • Must know and understand the terms and conditions of commercial leases.
  • Certification, or be working towards certification would be considered an asset: Real Property Administrator Designation (RPA) or Certified Property Manager Designation (CPM), Institute of Housing Management (IHM)

Work Environment:

  • This role may require overtime, and hours of work may fluctuate.
  • Availability to troubleshoot in emergency situations all hours of the week.
  • Schedule changes and open availability are required to suit the needs of the tenants and the property.
  • Providing service to several people or departments, working under many simultaneous deadlines.
  • Willingness to be mobile- the role requires work to be performed on site, and in office.
