Part of the Taggart Group of Companies, Taggart Realty Management focuses on acquiring, developing, leasing and managing retail, residential, office and commercial property owned by the Taggart Group or owned in partnership with third party investors. Taggart Realty Management has 30 + properties (and growing) under its management and is growing the portfolio of income producing properties through development and acquisition. The organization continues to assess opportunities and projects that will help us expand our portfolio and service our customer best. As we continue to refine our processes and build our team, we are searching for a candidate to fill the role of Senior Property Manager. The Senior Property Manager, reporting to the Director of Operations will support the day to day activities of managing our residential, commercial and office building portfolio. Building, processes, procedures, and mentoring the property management team.

Major Responsibilities:

Senior Property Manager

• Operate properties in accordance with the management contract and approved annual budgets. Work with operations manager to determine appropriate budgets and projects priorities.
• Support property management team, in establishing a structure for the corrective maintenance for each of their buildings.
• Support, coach, and train property managers in resolving issues in their portfolios.
• Provide assistance in the preparation of all building budgets each year. Report on each property on a monthly basis and performance against the annual budget. Re-forecasting the years projections when special circumstances arise. Flag concerns to operations manager.
• Ensure that all buildings in the portfolio are in compliance with any regulatory requirements or changes. I.e. buildings are safe, meeting all building code, specifications, and that they are “accessible” to all users. Coach property management team where compliance is not happening and provide direction on how to correct the deficiency.
• Visit all buildings on a monthly basis to ensure a high level of tenant satisfaction and confirm that esthetic standards are maintained. Create task lists for Property Managers to action.
• Initiate follow-up where payments are not made and initiate and attend to legal and collection when necessary. Be responsible and accountable for all accounts receivable.

• Manage, direct and motivate Building Operators, Administration and Maintenance Staff. Provide performance feedback, coaching and guidance, including an annual performance review for employee.

• Ensure maximum level of customer service to residents, tenants, or other stakeholder is provided, either by yourself, or from your team.
• Ensure preventative maintenance is scheduled and completed.
• Ensure repairs and maintenance requests meet budgetary and operational expectations. Report/ follow up on variances.
• Managing building service contract performance to ensure prudent, cost-effective practices are constantly observed.
• Oversee major construction initiatives with the project manager and provide routine update to the investors or other related parties.
• Perform and document monthly site and vacant suite inspections.
• Ensure suites on turnover and complete a scope of work is consistent with established policies and procedures. Ensure follow-up for all deficient items identified are addressed in timely manner.
• Keep abreast of any changes in property management standards, new applications, trends and ideas. Focus on innovation and new technology. Provide suggestions on how we can better manage our portfolio.
• Ensure all vendors and contractors comply with the established health and safety policy, and immediately address any infractions, hazardous conditions, or damaged equipment.
• Other duties as assigned.

Statement of Qualifications:
Knowledge, Skills and Abilities

• A minimum of 5 years experience as a property manager, managing a mix of commercial, retail, residential, and office space.
• A minimum of 2 years experience in a management/leadership role, experience in providing performance feedback and mentoring a team.
• Working knowledge of commercial, office and condo property management operations and processes and regulations.
• Must know and understand the terms and conditions of residential and commercial leases as well as have working knowledge of the Ontario Residential Tenancies Act.
• Completion of a post-secondary program with an emphasis in Property Management, or related field.
• Experience preparing and administering annual operating budgets and preparing monthly and quarterly reports through full budget/fiscal cycle.
• Excellent interpersonal and communication skills. The ability to actively listen and resolve conflict and foster understanding is essential in this role. Strong customer service skills are required in this role.
• Well-developed computer skills using Microsoft Suite.
• Self-motivated, adaptable and decisive with a hands-on approach.
• Experience in Yardi would be an asset.
• Fluency in both official languages would be considered an asset.
• Certification, or be working towards certification would be considered an asset: Real Property Administrator Designation (RPA) or Certified Property Manager Designation (CPM), Institute of Housing Management (IHM)

Work Environment:

• This role may require overtime, and hours of work can fluctuate.
• Available to troubleshoot in emergency situations all hours of the day/week.
• Schedule changes and open availability are required to suit the needs of the tenants and the property.
• Providing service to several people or departments, working under many simultaneous deadlines.
• Willingness to be mobile as the role requires work to be performed primarily in the office but also on-site.
