The Faculty of Dental Medicine and Oral Health Sciences of McGill University is currently seeking an experienced, professional, qualified Human Resources Advisor. The chosen candidate will be responsible for the effective human resource management within the Faculty of Dental Medicine and Oral Health Sciences.
Position Summary:
Under the direction of the Director of Administration and Finance and the Dean of the Faculty of Dental Medicine and Oral Health Sciences, provides a full range of HR services for academic and administrative staff of the Faculty. Main responsibilities include recruitment, benefits administration, compensation, organizational development and labour and employee relations. Acts as a resource person and provides advice on the interpretation of policies referring to unionized and non-unionized employee groups, and academic staff. Participates in the development and implementation of University policies and new initiatives that support the strategic direction of the Faculty by keeping abreast of new developments and trends in the field of Human Resources Management.
Primary Responsibilities:
- Responsible for all human resources activities for academic staff (tenured, tenure-track, contract academic staff etc.). Oversees recruitment activities. Guides and advises academic staff on the process of hiring and training teaching assistants, research assistants/associates, graduate students, invigilators, and post-docs. Ensure all Academics are appointed and re-appointed correctly and on time. Liaises with the Provost Office for the application and interpretation of academic policies and procedures.
- Recruits administrative and technical support staff in accordance with University policy and collective agreements. Ensures diverse and very specialized employment needs throughout the Faculty are met. Develops recruitment tools (interview grids/tests), conducts interviews, and assesses test results; conducts reference checks and advises supervisors on hiring. Ensures appropriate orientation and on-boarding. Improves processes and finds efficiencies.
- Reviews, writes and audits job descriptions for administrative and technical support staff, and ensures appropriate generic matching of positions. Monitors all requests for re-evaluation, ensuring the maintenance of Faculty-wide equity. Advises managers on the application of the University’s Salary Review Policy and relevant provisions of the collective agreements. Makes recommendations on salary adjustments, hiring salaries and other compensation matters. Identifies solutions for problems that fall outside existing policies and submits rationale to Total Compensation for special consideration.
- Provides professional expertise and advice on the application of human resources policies and procedures, and collective agreements. Ensures coherent/consistent application of University policies and collective agreements across the Faculty. Advises managers with respect to the management of work performance and disciplinary/administrative measures.
- Provides advice to managers with respect to problem resolution. Identifies and analyzes current and potential problems and recommends alternatives/solutions (for academic and administrative staff). Works with managers to achieve resolution and provides coaching when appropriate.
- Identifies training needs and, as appropriate, the organization of training sessions. Develops and implements regularly scheduled training/information sessions for faculty and staff.
- Conducts exit interviews/compiles data on turnover. Makes recommendations on how to reduce turnover.
- Ensures the effective administration of the performance review and appraisal process, including how performance reviews are completed.
- Participates in the annual salary review process and develops guidelines to ensure alignment with University practices and to ensure consistency across the Faculty.
- Participates in the development of HR policies and procedures and their dissemination throughout the faculty.
- Directly supervises a team of two HR Administrators. Leads and motivates an effective team.
Minimum Education & Experience:
- Undergraduate degree
- Three (3) years' related experience
Other Qualifying Skills And/or Abilities:
- CRHA designation is required.
- Excellent interpersonal skills and demonstrated ability to represent and support the needs of the Faculty.
- Demonstrated outstanding professional conduct, discretion, attention to detail, strong writing skills, and a high degree of confidentiality.
- Experience providing guidance and direction for all matters related to HR, including Academic Affairs. Ability to communicate diplomatically and tactfully.
- Up to date knowledge of best practices in the areas of Human Resources.
- Demonstrated ability to analyze information, solve problems and provide recommendations and solutions.
- Proven ability to influence decisions in a professional and diplomatic manner.
- Demonstrated ability to work in a computerized environment using word-processing, databases, spreadsheets, presentation software, Workday (HRIS), and Minerva.
- French and English, spoken and written.
