About the role
**Okanagan Similkameen School District #53 ****POSTING: Executive Assistant to the Secretary Treasurer **
The Okanagan Similkameen SD53 invites applications for the position of Executive Assistant to the Secretary Treasurer. The Executive Assistant provides support to the Superintendent, the Secretary Treasurer, and senior management staff. Executive Assistants are professional, confidential, with superior diplomacy and information management skills. Work is performed with limited direction and must be accurate and complete using established policies and procedures.
The Executive Assistant provides professional administrative support including:
- prepare agendas and minutes, attend meetings and finalize subsequent follow up, meetings include board meetings which occur after office hours;
- schedule, organize and prepare for meetings and events including travel arrangements;
- manage incoming calls, emails, and correspondence, provide information and direct inquiries to the appropriate personnel;
- create, compile, process and maintain correspondence, documents, reports, materials, minutes, files, and forms;
- establish and maintain effective working relationships;
- establish priorities and meet strict deadlines both independently and as part of a collaborative team;
- assist other office staff with administrative support as needed;
- exercise independent sound judgement and initiative; and
- confidential management of information.
The successful candidate will possess:
- grade 12 graduation plus post-secondary education in an administrative program at a recognized institution (equivalent training/experience may be considered);
- a minimum of 4 years of recent and relevant office experience in a senior support role (experience in the education system would be an asset);
- positive and effective interpersonal and communication skills to perform administrative duties and liaise with diplomacy and respect while maintaining an impeccable level of confidentiality and discretion;
- exceptional organizational skills, attention to detail and ability to work under pressure in a fast-paced work environment;
- excellent communication, organization, problem solving, time management and human relations skills; extensive experience with Microsoft 365 (Word, PowerPoint, Excel, Outlook), including ability to learn school district and Ministry programs, and ability to keyboard accurately at 60 wpm.
This is a permanent, full-time, non-union position commencing December 1, 2025 or mutually agreed upon date and offers an extensive benefit package and salary that ranges from $67,513 to $84,391.
