About the role
EXECUTIVE ASSISTANT
SD10, in the beautiful West Kootenay region of southeastern BC, is situated on the traditional, ancestral and unceded territory of the Sinixt, Sylix, Ktunaxa, and Secwepemc Peoples. We are seeking a highly competent and dynamic Executive Assistant to support the District Leadership team. Reporting to the Superintendent, this is a challenging, full-time, exempt position to start as soon as possible. As theExecutive Assistant , you will provide administrative assistance and support to the Superintendent of Schools, Secretary-Treasurer, the Management team, and the Board of Education. The Executive Assistant is required to maintain a high degree of discretion and confidentiality while functioning in an innovative environment with time-sensitive and/or political issues or projects simultaneously. It is essential that the Executive Assistant work efficiently, independently and effectively in a supporting role. The salary range for this position is $62,390-$77,987.
Responsibilities:
- provide support to the Manager of Operations and Transportation by managing field trip requests, call-out assignments for bus drivers and custodians, assisting with transportation schedules, timesheets and payroll submissions.
- work closely with the other Executive Assistant, Human Resources Manager and Accounts Payable / Payroll Manager to assist with supporting and managing the day-to-day activities of a busy office
- liaise with trustees, government officials, staff, community organizations and the general public, responding to requests regarding district policies, programs and events
- support accounting and finance including processing accounts receivable entries, invoicing, deposits, and payment receipts
- support effective District communication processes through website updates and ongoing maintenance
- support the Secretary-Treasurer and Superintendent with various administrative tasks include preparing for meetings which may include board of education, labour-management, grievance, legal, or standing committee meetings
- maintain permanent student record files, HR files, and other records and archives of the School District
- provide support to other school district departments including Payroll, Finance, and Operations and Transportation on inter-related matters as required
Qualifications:
- Post-secondary education in a related discipline such as business administration, office administration, finance, accounting or communications
- Several years of administration / executive assistant experience with direct experience in accounting, operations, records and data management would be ideal
- Strong ability to work independently with minimal supervision
- Excellent interpersonal and communication skills (verbal and written)
- Strong technology skills with proficiency in a variety of software programs (i.e. Office 365, presentation and graphic design software and website applications)
- Excellent time management skills with the ability to adapt, flex and learn new tasks quickly
- Experience working effectively in a team environment
