Reporting to the Directorate of Talent, Culture, Environment and Society (DTCES) and the Office of Faculty Affairs (BdAP), the successful candidate will primarily contribute to supporting the administrative processes associated with managing faculty files within a demanding academic environment and high institutional visibility.
Main responsibilities:
- Participates in operations related to Faculty Affairs (appointment, probation, promotion, resource allocation) and management of appointment files, HR, financial and material resources
- Responsible for providing answers based on policies, rules, management procedures and practices in effect
- Contributes to the smooth running of the sector by collecting information related to faculty files
- Follows up on decisions made by the immediate superior including those from academic bodies or committees
- Manages the schedule of the immediate supervisor — appointments, meetings, priorities
- Maintains accounting records — compiles expenses, reports income/expense statements, identifies errors
- Prepares and monitors personnel-related files — postings, hiring, staff movements, leaves, absences
- Takes notes during committee meetings, prepares documents (letters, reports, memos)
- Receives and screens telephone calls, greets visitors, manages Faculty Affairs inbox
- Organizes meetings — invitations, room bookings, materials preparation, minutes
- Assumes responsibility for the filing system and archiving procedure
- Uses and maintains current computer applications
- May be called upon to train one or more people
Requirements:
- College diploma (DEC) with specialization in administrative techniques or techniques relevant to the position
- Minimum of three (3) years of relevant experience
- Proficiency in the French language
- Proficiency in commonly used office software
Remuneration: Class 8 ($30.40 to $41.64/hr)
Benefits: 21 days vacation, 16 public holidays, social and parental leave, reduced summer hours, hybrid work (remote/on-site), workplace daycare (CPE Les petits génies), employee assistance program, defined benefit pension plan.
