Admin Coordinator
Roles and Responsibilities:
Program administrative support

Assist the leadership team with the development of programs supporting the attachment of individuals to primary care services

Assist nursing staff and physicians with triaging patient appointments based on patient
needs and work flow

Process patient referrals and follow up on appointments in a timely manner
-
Complete administrative tasks including patient registration, patient scheduling, and
managing phone lines
-
Organize in-person and virtual meetings with stakeholders
-
Draft and distribute meeting agendas and minutes
-
Proficiently respond to all communications including phone calls and emails
-
Participate in program development and quality improvement initiatives
Electronic Medical Record Administrative Support

Train new staff and learners in the functionality and use of Telus Practice Solutions (PSS) EMR
-
Generate and maintain user accounts i.e. new users, terminated users, user permissions,
password resets, etc.

Assist with trouble shooting EMR questions raised by end users
-
Liaise with vendors i.e. Sunnybrook Information Services and other third party venders to
support EMR functionality and end user needs.
- Work with SAFHT EMR systems administrator to develop EMR custom forms, reminders,
Toolbars, and stamps.

Maintain the EMR address book and Pharmacy registry.

Revise EMR appointment templates as required
The Requirements:
Medical office experience
Experience using Electronic Medical Records EMRs – Telus Practice Solutions (PSS) preferred
Proficient in MS Office Suite and an aptitude for adapting to new software and IT systems
Experience with virtual meeting platforms i.e. Zoom, Microsoft Teams
Sound knowledge of medical terminology
Experience working with multi-disciplinary teams
Experience working with stakeholders to assist with project development and implementation
Excellent written, verbal and electronic communication skills
Exceptional patient service skills
Ability to manage patient confidentiality at all times
Ability to work with a high degree of autonomy and on inter-professional teams
Excellent conflict resolution and interpersonal skills.
Commitment to anti-oppression, anti-racist, and 2SLGBTQ+ inclusion principles.
Familiarity with the healthcare sector and multidisciplinary team environments
