Key Responsibilities
- Provide high-level administrative and operational support to the CEO.
- Manage complex calendars, schedule meetings, and coordinate and join travels (including out-of-province trips).
- Assist in project management by tracking deliverables, deadlines, and progress.
- Handle confidential communications, emails, and follow-ups with internal and external stakeholders.
- Prepare, organize, and maintain documentation, reports, and presentations.
- Support CEO in multitasking across business units, meetings, and strategic initiatives.
- Be available for extended hours and after-hours support to match CEO’s work schedule.
- Coordinate logistics for site visits, events, and business travel.
- Act as a professional liaison between the CEO, departments, clients, and partners.
Ideal Candidate Profile
- Proven experience supporting C-level executives, preferably in construction, asset management, or related industries.
- Strong organizational and multitasking abilities with a proactive, hands-on mindset.
- Excellent communication, interpersonal, and problem-solving skills.
- High level of discretion, professionalism, and common sense.
- Tech-savvy with proficiency in Google Workspace, Microsoft Office, and project management tools (e.g., Asana, Trello).
- Flexible, adaptable, and willing to travel as needed.
- Resourceful, sharp, and solution-oriented personality.
Preferred Qualifications
- Bachelor’s degree or equivalent professional experience.
- 3+ years in executive assistance, operations, or project coordination.
- Familiarity with construction workflows, terminology, or industry practices is an asset.
