What You Will Do:

The Operations Coordinator plays a key role in supporting the Director of Operations with the smooth execution of day-to-day business activities. This role oversees a variety of operational and administrative tasks, including coordinating inventory planning, transactions and managing orders across multiple systems and departments. The Operations Coordinator also assists with logistics such as shipping and receiving, 3PL management, ensuring regular and accurate documentation and compliance with all organizational policies and regulatory requirements.

Success in this role requires someone who is responsible, proactive, organized, and quick to learn, with the ability to work independently while adapting to shifting priorities. The ideal candidate thrives in a fast-paced environment and brings a problem-solving mindset to the ever-changing demands of daily operations.

Key Responsibilities:

Inventory Control & Management:

  • Coordinate monthly global inventory reporting, reconciliation, and analysis within the accounting system.
  • Monitor inventory levels and provide timely updates and recommendations to management and relevant departments.
  • Maintain accurate warranty records and generate monthly warranty reports.
  • Collaborate with the Director of Operations and Finance to control and optimize inventory costs.

Order & Documentation Coordination:

  • Manage end-to-end order processing and inventory transactions, from purchase through receipt.
  • Ensure accurate preparation of all required shipping and customs documentation for domestic and international deliveries.
  • Coordinate production and shipping schedules in line with internal instructions and supplier availability.
  • Process invoices related to warranties, demonstrations, and e-commerce orders into the accounting system.

Order Fulfilment & Logistics Support:

  • Coordinate order fulfilment and shipments across direct to consumer, commercial, and municipal channels.
  • Track and monitor shipments (ETD, ETA, delays) and provide logistics support to the Head of Fulfilment.
  • Support inventory transitions, reconciliations, and related operational tasks.
  • Contribute to continuous improvements in fulfilment efficiency and accuracy.
  • Perform additional duties as assigned.

Qualifications & Core Competencies:

  • Post secondary education (Diploma/degree)  in Operations, Logistics, or a related field
  • A minimum of 6 months to 2 years of experience in engineering, logistics, operations, supply chain management, production, or manufacturing. Related equivalent experience and/or education will be considered
  • Excellent communication and interpersonal relationship skills
  • Proficiency in Microsoft Office, especially Word, Outlook, PowerPoint, and Excel
  • Professional demeanour with good business acumen
  • Exceptional organizational abilities with task prioritization, multi-tasking, use of timelines, and time management techniques
  • A continuous learner that supports best practices and continuous improvement
  • Self-starter with a strong sense of personal accountability and ownership of work
  • Demonstrated ability to work collaboratively and effectively through your strong interpersonal skills and team spirit
  • Proven problem-solving ability and ability to predict issues that may need resolution/follow-up actions and the judgment/courage/business acumen to try new things without worrying about failing
  • Creative mindset and a strong attention to detail
  • A passion for sustainability and clean technology

The following qualifications would be an asset:

  • Experience in CRM, ERP and/or financial inventory systems
