The Marketing, Client Development & Events Coordinator is a junior position responsible for providing day-to-day support to the Vancouver Client Development team, working closely with the Client Development Specialist and Client Development Director. This role supports marketing, business development and event initiatives for the Vancouver office, helping ensure programs, communications and client-facing activities are delivered smoothly, professionally and in alignment with firm standards.

The ideal candidate is organized, enthusiastic, detail-oriented and service-focused, with a strong ability to manage multiple priorities, learn new systems and processes quickly, and build effective working relationships across the firm.

Major Responsibilities:

  • Assist with tracking the Vancouver office’s business development initiatives, including maintaining lists, calendars and project trackers for key dates, deadlines and related details.
  • Help maintain schedules and workflow for marketing and client development projects, and support efficient team processes and coordination.
  • Provide general on-site event support, including assisting with setup, distributing collateral, coordinating with reception at check-in, tracking attendance, updating the CRM post-event, and supporting follow-up communications.
  • Assist with the production of marketing and event collateral, including nametags, signage, presentations, handouts, brochures and other branded materials, while ensuring alignment with firm brand standards.
  • Maintain practice group deal and matter lists and assist with keeping related marketing and business development information current.
  • Assist the client development team with legal directory and market recognition submissions, including submissions to media and news publications.
  • Assist with the preparation of client development budgets, invoices and monthly reconciliation materials.
  • Assist with the preparation of materials for monthly partner and practice group meetings, including presentations, agenda support and other briefing materials.
  • Assist with administrative tasks related to Osler’s alumni program, including onboarding, gathering consents and updating the CRM.
  • Support the team with market research, competitive intelligence and ad hoc business development projects, as required.
  • Foster strong working relationships with lawyers, legal assistants, business services teams, vendors and other internal stakeholders in support of client development and event initiatives.
  • Respond to ad hoc requests and provide general administrative and coordination support to the Client Development team, as required.

Position Requirements 

Education and Experience

This position requires a post-secondary degree or diploma in marketing, communications, business, event management or a related field, plus approximately one to two years of relevant experience in marketing, business development, events or a similar coordination role. An equivalent combination of education, training and experience may be acceptable. (Experience in a professional services or other B2B environment is an asset).

Knowledge and Skills

  • Strong organizational, time-management and project coordination skills, with the ability to manage multiple priorities and deadlines with a positive, calm, and solutions-oriented attitude.
  • Strong interpersonal, written and verbal communication skills, with a professional and service-oriented approach when interacting with internal and external clients.
  • Excellent attention to detail, sound judgment and a high degree of accuracy.
  • Ability to work independently while also contributing effectively as part of a collaborative team.
  • Proficiency in Microsoft Office, including Word, Excel, Outlook and PowerPoint.
  • Comfort learning and using CRM, event technology and other workflow tools; experience with Salesforce, webinar platforms or related systems is an asset.
  • Creativity and interest in helping deliver polished marketing materials and exceptional client experiences.
  • Bilingualism (English/French) is considered an asset.

 

Compensation:  

The typical hiring salary range for this position in British Columbia is $57,000

  • $67,000 annually; the base pay offered may vary depending on job-related knowledge, skills, experience, internal and market equity.

We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
