**Description:**Administer and maintain HR/Payroll software systems, including but not limited to ISYS, Parklane, Absence Management System, and the Employee Self-Serve (ESS) Portal. Ensure data accuracy and the effective functioning of all HR and Payroll information systems. Provide support for data queries, report generation, and related analytics across HR and Payroll departments. Collaborate with software vendors to coordinate system updates, upgrades, and modifications. Deliver user support and training to ensure effective use of HR/Payroll systems and tools.

In addition, this role is accountable for maintaining the security of all HR/Payroll systems by implementing and monitoring security controls, mitigating risks, and ensuring compliance with organizational and regulatory requirements. The incumbent will serve as the subject matter expert for all HR/Payroll systems, providing leadership during upgrades, new system implementations, and process improvement initiatives.

Responsibilities:

HRISSystemAdministration**&**Support

  • Serve as the subject matter expert for HRIS modules, including set up, access security, configuration, and troubleshooting.
  • Provide daily functional and technical support for ISYS, ATE, Parklane, M-Val and other integrated HR systems.
  • Support HR staff and administrators in data verification, system use, and process consistency.
  • Set up and maintain grids, job and assignment records, seniority updates, and organizational roles in the Board's HRIS platform, ensuring all models are properly defined for all employee groups.
  • Implement and maintain core system changes across Board platforms.
  • Responsible for the annual absence rollover and allocation of all employees of the Board.
  • Provides the payroll file for each pay period.
  • HR Officer extracts all payroll entries from the HR system and provides a pay pending file to payroll for processing.

**DataManagement&**Reporting

  • Develop and run SQL queries to extract, analyze, and report HR and employee data.
  • Maintain accurate and up-to-date data across all HRIS platforms.
  • Manage HR data processes such as vacation and sick leave allocation, staffing, performance appraisals, and mass updates.
  • Collaborate with the Payroll department to align HRIS data with payroll requirements (e.g., pay periods, percentages, models, and service days).
  • Prepare and generate custom reports for HR, Payroll, Finance, Senior Leadership, the Ministry of Education (ONSIS), OCSTA, and monthly Board reports.
  • Administer and track employee evaluations using relevant software systems.
  • Support teacher evaluations in relation to the software platform.

ProcessImprovement&StrategicSupport

  • Identify opportunities for HR process automation, system optimization, and workflow improvements.
  • Work with ICT to resolve system issues, implement patches, manage upgrades, and develop custom interfaces and queries.
  • Participate in HRIS-related projects, system enhancements, and strategic initiatives aligned with HR and organizational goals.
  • Collaborate with the Board's Education Partners to ensure HRIS functionality meets business and regulatory requirements.

Training,Documentation&EducationPartner****Communication

  • Create and maintain clear documentation including user guides, process manuals, and system workflows.
  • Provide training and ongoing support to end users across HR, school administration, and other departments.
  • Effectively communicate with both technical and non-technical Education Partners to ensure understanding and proper system use.
  • Some travel required

All of the above requires alignment and compliance with Collective Agreements and Terms and Conditions for all employee groups.

Other Duties as assigned

Qualifications:

  • Minimum Post-secondary diploma or certificate in a related field
  • Minimum Bachelor's degree Human Resources, Information systems/ Technology, Business Administration or Computer Science
  • Minimum three years in a related field
  • Five years with additional experience within an educational or unionized environment is preferred
  • CHRL designation or working towards certification considered an asset

Skills:

  • Advanced proficiency in Microsoft Office
  • Expertise in HR policies and procedures
  • Strong knowledge of hiring practices
  • Strong Communication skills (written and oral)
  • Strong analytical and problem-solving skills, ability to gather, interpret, and analyze data for decision making.
  • Trouble shooting system or data integrity issues.
  • Root cause analysis and proactive resolution planning.
  • Strategic Thinking and Organizational and diagnostic skills.
  • Ability to align system usage and processes.
