Administrative Assistant, English Language Centre

Start Date: As Soon As Possible

Rate of Pay: $28.29 per hour

Location: Erin Campus

Monday to Friday, 8:30 am to 4:30 pm (35 hours/week)

The Administrative Assistant, English Language Centre (ELC) is responsible for the management and efficient performance of all operations related to the creation and maintenance of all English as a Second Language (ESL) and Refugee Employment Development Initiative (REDI) client data and ensuring entry into the required client data management systems, in accordance with MITT policies and Provincial legislation and funding regulations; providing frontline assistance to REDI/ESL clients; responding to telephone and email inquiries; and providing administrative support to the ESL/REDI program staff.

Responsibilities include but are not limited to:

  • Provides reception to the ELC and shares information regarding Manitoba Institute of Trades and Technology REDI/ESL programs and services to the current students and general public.
  • Interacts effectively with colleagues on a team; is able and willing to share and receive information; takes responsibility to complete group tasks collaboratively.
  • Registers students, maintains the electronic copies of student records, manages waitlists and exits students from the program using student record systems (i.e. CAMS, iCARE, SPRS, IREAS and iSTEDY).
  • Supports REDI recruitment under the REDI Coordinator; attends information sessions, interviews and selects clients.
  • Contacts and sends letters offering seats to potential REDI/ESL students.
  • Provides documentation for student requests (confirmation of enrolment) for student and outside agencies.
  • Provides assistance to the ELC Coordinators to create class lists, student moves and student profiles at the start of each intake.
  • Processes incoming referrals from referral agencies in consultation with ELC Coordinators to maintain ongoing waitlists in iCARE.
  • Takes direction from and provide feedback and reports as required to the ESL Manager, REDI Coordinator and Registrar’s Office regarding issues related to REDI/ESL student records as required.
  • Produces Canadian Language Benchmark (CLB) Student Progress Reports in collaboration with the Coordinator ensuring copies are maintained in the student files.
  • Performs office duties such as distributing post and courier deliveries, ordering office supplies, issuing student cards, selling Peggo cards and word processing, etc.
  • Maintains cash float and ensures all daily incoming funds go to the Accounting Department.

Required Qualifications and Experience:

A combination of related education and experience may be considered.

  • Business or Administrative Assistant certificate.
  • Minimum of 2 years customer service work experience.
  • 40 wpm typing.
  • Strong knowledge in Microsoft Office Suite.
  • Previous experience working with Newcomers in either a language program or settlement agency.

Preferred Qualifications and Experience**:**

  • Experience using student record systems (i.e. CAMS, iCARE, SPRS, IREAS and iSTEDY).

Conditions of Employment:

  • Legally entitled to work in Canada.
  • Successful completion of a Criminal Record check including vulnerable sector and Child Abuse Registry Check.
