About the role

Overview

We are seeking an experienced, dedicated, and detail-oriented Legal Assistant to join our law office, with a focus on corporate, commercial, real estate, and estates law.

This is an in-office position. The successful candidate must be local or able to reliably commute to our office each workday. This is not a remote position.

The ideal candidate will provide administrative and file support to our lawyers across corporate, commercial, real estate, and estates matters. This position requires strong organizational skills, excellent attention to detail, professionalism with clients, and the ability to manage multiple files and deadlines efficiently.

Prior legal assistant experience is required. Salary and vacation time will be commensurate with experience.

Responsibilities:

The successful candidate will be responsible for:

  • Providing administrative and file support to lawyers practicing in corporate, commercial, real estate, and estates law.
  • Preparing, revising, and formatting legal documents, correspondence, reporting letters, closing documents, corporate documents, estate documents, and other related materials.
  • Assisting with real estate transactions, including opening files, preparing closing documentation, tracking deadlines, communicating with clients, lawyers, lenders, realtors, and other parties, and assisting with post-closing matters.
  • Assisting with corporate and commercial matters, including file organization, document preparation, minute book updates, corporate records, closing agendas, due diligence materials, and transaction support.
  • Assisting with estate matters, including preparing correspondence, organizing client information, assisting with estate administration documents, and maintaining estate files.
  • Handling incoming phone calls and client inquiries professionally and courteously.
  • Managing calendars, deadlines, follow-ups, appointments, and file reminders.
  • Performing accurate data entry and maintaining organized physical and electronic files.
  • Communicating with clients, lawyers, financial institutions, accountants, real estate agents, and other professionals.
  • Working collaboratively with lawyers and staff to support an efficient and positive office environment.

Qualifications

The ideal candidate will have:

  • Proven experience as a Legal Assistant or in a similar administrative role within a law office. Legal administrative experience is required.
  • Experience in corporate, commercial, real estate, and/or estates law is strongly preferred.
  • Familiarity with Ontario real estate procedures, corporate records, estate administration, and legal terminology is an asset.
  • Proficiency with Microsoft Word, Outlook, PCLAW, Teraview, conveyancing software, and general office software.
  • Experience with legal accounting, conveyancing, document management, or practice management software is an asset.
  • Strong organizational skills and the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, accuracy, and follow-through.
  • A professional and client-focused attitude.
  • The ability to work independently while also contributing to a collaborative team environment.

Compensation
