What you will do: Summary The Senior Lease Analyst is responsible for performing a wide range of analytical tasks to manage and control occupancy costs, ensure lease compliance, and resolve complex landlord/tenant issues. This role delivers accurate lease data and interpretation to support the Real Estate team, while driving Business Unit and Functional Area initiatives and fostering strong internal and external relationships. This role transforms lease data into actionable insights through Power BI reports and dashboard, while supporting the Manager, Lease Administration, with the rent export process, troubleshooting PeopleSoft issues, and implementing system enhancements.
This is a hybrid position (3 days in the office per week). Office location is 1303 Yonge Street, Toronto.
Responsibilities:
- Complete in-depth analysis of all landlord invoices to ensure accuracy and lease compliance. Identify and follow up on opportunities to reduce occupancy costs and negotiate with landlords to resolve contentious issues to the benefit of the Company. Enter undisputed invoices into PeopleSoft for processing to meet due dates.
- Design, implement and maintain Power BI dashboards to visualize lease data.
- Provide support for theatre management with respect to landlord interactions and lease interpretation. Ensure compliance with the terms of our lease agreements and intercede where necessary to resolve any disputes.
- Provide expertise and feedback to Business Units and Functional Areas in support of the development and implementation of their initiatives. Ensure all projects are in compliance with the terms of the lease and liaise with landlords to obtain necessary approvals.
- Prepare, reconcile and process weekly and monthly rent exports.
- Ensure all costs and expenses for which the landlord or other parties are responsible are recovered when due.
- Assist Manager with training and supporting the Lease Administrators in their day-to-day functions.
- Provide support to Real Estate and Legal as required.
- Process all Estoppel Certificate requests within the timeframe specified in the governing Lease Agreement.
- Assist Manager with resolving PeopleSoft related issues and making enhancements to the system.
- Maintain the central repository of lease documents and ensure terms of the agreements are input into PeopleSoft.
- Develop and maintain mutually beneficial working relationships with landlords and other stakeholders.
What You Will Need:
- A post-secondary education in a related field
- A minimum of 3-5 years of Lease Administration experience
- A minimum of 3-5 years of interpreting commercial leases
- General understanding of occupancy costs
- General accounting knowledge
- Advanced analytical and problem-solving capabilities
- Skilled in effective negotiation strategies
- Comprehensive understanding of commercial lease structures and terms
- In-depth knowledge of occupancy costs, including CAM, property taxes, utilities, and percentage rent
- Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams)
- Experience building Power BI reports and dashboards
- Highly organized and professional, with strong multitasking and time management skills
- Proven ability to deliver exceptional customer service with strong verbal communication and interpersonal skills
- Thrives under pressure and consistently meets deadlines
- Familiarity with PeopleSoft is an asset.
- Experience monitoring property taxes and liaising with tax consultants is a plus.
- Skilled in training and mentoring team members.
- Fluency in French is an asset, though not required.
