EIPS is recruiting a permanent full-time Senior Administrative Assistant, Registrar at Next Step Sherwood Park.

Work with processes around concurrent registrations and working in PASI.

Next Step Sherwood Park provides flexible outreach programming for grades 7 to 12 students with nine teaching staff and five support staff. The school is located in Sherwood Park, AB.

The Senior Administrative Assistant, Registrar, is responsible for maintaining student records and administrative tasks to ensure the smooth operation of EIPS’s school and its educational environment. The role involves maintaining student enrollment, schedules, providing administrative support, and handling communications. The Senior Administrative Assistant, Registrar, ensures the smooth operation of the school by maintaining business processes, accurate records, facilitating communication, and supporting various school events and activities.

KEY RESPONSIBILITY

Record Management

  • Maintain teacher schedules, courses and student timetables as directed by administration.
  • Maintain, request, and communicate with administration and counsellors on changes to student records.
  • Manage correction and verification forms, and registrations to ensure all necessary information and documentation is obtained.
  • Assist in the report card process, which may include uploading information to the Provincial student information system.
  • Register new students, process transfers, manage student departures, and update student demographic information.
  • Generate reports in collaboration with administration.
  • Identify records eligible for disposal, complete records disposition requests, and dispose of records as approved as per EIPS policies and procedures.

Administrative and Office Support

  • Provides excellent service to students, staff, and parents, answering phone calls, emails and in-person inquiries.
  • Administer the system parent portal account and assist parents as needed.
  • Provide professional support to the administration on various tasks and projects as needed.
  • Support audit compliance with Alberta Education and Provincial student information policies.
  • Providing training and coaching to other staff as needed.
  • Engage in professional development on an ongoing basis, including the use of emerging technologies.
  • Maintain strict confidentiality, ensure student and staff records are secure.

QUALIFICATIONS

Education

  • Certificate or diploma in office management, business administration, or related field.

Experience

  • 3 years of office administration experience.
  • Previous school division experience and/or with student information records.
  • Front office and customer service experience.
  • Experience in an administrative role in an office environment.

KNOWLEDGE, SKILLS AND ABILITIES

  • Attention to detail and accuracy in record-keeping.
  • Excellent oral and written communication and interpersonal skills.
  • Strong prioritization, organization, multitasking, problem-solving solving and time management skills.
  • Ability to successfully work in a multi-disciplinary team environment as well as independently with minimal supervision.
  • Strong ability to adapt and manage change with frequent interruptions.
  • Proficient in Microsoft Office Suite, emerging technologies and web-based applications.
  • Knowledge of records management principles, including FOIP Legislation.
  • High level of integrity, business professionalism and discretion in dealing with confidential and sensitive information.
  • Familiarity with EIPS platforms such as PowerSchool, Atrieve, SharePoint, and Permission Click.
  • Familiarity with provincial student information systems and policies.
