The Opportunity

RVS invites applications for a continuing, part-time (17.5 hrs/wk) Administrative Assistant III position with the Indigenous Learning team starting immediately. This position will be at the Education Centre located in Airdrie, Alberta.

The Administrative Assistant III performs a variety of administrative duties to support their Rocky View Schools (RVS) Education Centre department (RVS). The Administrative Assistant III performs duties specific to the requirement of their department including but not limited to maintaining accurate records, database management, documentation and correspondence, supporting the schedules of the department leadership and team members and providing professional service to RVS staff, students, families, internal and external clients, and visitors.

Responsibilities Include

  • Provides informal leadership to other department administrative assistants to coordinate workflow, including providing training and coaching as required

  • Supports the Department Manager/Supervisor in all areas of financial duties such as tracking department budgets, running financial reports, and purchase requisitions

  • Acts as liaison between various departments at the Education Centre, schools, and the community

  • Assists/ guides all internal and external clients with locating information regarding services provided by RVS specific to the department

  • Provides excellent service to staff, students, and the public, including answering and directing phone calls in a courteous and professional manner

  • Responds to and redirects emails from generic department email

  • Schedules appointments, books meeting rooms and communicates with participants in a timely manner as required

  • Creates a variety of written documents in a professional manner as required

  • Takes initiative to assist internal and external clients with urgent / time sensitive requests

  • Assists with training and orientation of new staff

  • Maintains accurate employee records using various data management programs in a confidential manner

  • Runs reports, completes audits, and ensures accuracy of information entered in the databases used by the department

Education/Experience

  • Certificate or diploma in office management, business administration, or a related field
  • Three or more years’ experience in an administrative assistant role in an office environment
  • Minimum 2 years’ previous experience with basic accounting/bookkeeping
  • Previous experience within a school division and/or with Student Information Records Systems is considered an asset
  • Previous supervisory experience is considered an asset

Knowledge and Skills

  • Outstanding communication and customer service skills
  • Highly effective organizational and prioritization skills
  • Demonstrated ability to deal with a variety of complex and sensitive issues professionally and in a timely manner
  • Ability to successfully work in a team environment as well as independently with minimal supervision
  • Ability to think critically and deal with changing priorities in a fast-paced environment
  • Proficient in Microsoft Office Suite and web-based applications
