Our corporate office is growing, and we are currently seeking a Payroll Advisor to join our payroll team. Reporting to the Senior Payroll Manager, the Payroll Advisor plays a vital role within the payroll operations team, providing frontline support to office managers and overseeing day-to-day payroll processing activities. The Payroll Advisor is responsible for managing union remittances and union ratifications in accordance with collective agreements and supports the Payroll Analyst by contributing to operational execution and enhancing the overall employee payroll experience.

Key Responsibilities:

  • Administer union remittances and ratifications, ensuring compliance with collective agreements and coordinating with third-party union dues administrators.
  • Accurately process payroll, including off-cycle and quick-entry requests, ensuring all transactions comply with internal policies, collective agreements, and payroll legislation.
  • Maintain up-to-date knowledge of tax regulations and government reporting requirements.
  • Audit employee setup data, new hires, terminations, and benefit/deduction elections to ensure accuracy and alignment with payroll standards.
  • Review and validate daily timesheets and support internal audits and continuous improvement initiatives.
  • Liaise with the external payroll provider on payroll-related matters to ensure accuracy and timely processing.
  • Collaborate with the Finance team to reconcile payroll accounts and resolve discrepancies.
  • Oversee payroll banking activities, including stop payments, rejected payments, and direct deposit issues.
  • Maintain strict confidentiality and uphold best practices in data privacy and fraud prevention.
  • Work closely with payroll team members to provide coverage during absences, ensuring continuity of payroll services and consistent service delivery.
  • Monitor and manage internal support tickets
  • Complete ad hoc jobs and reports as needed.

Knowledge and Skills Required:

  • 1–2 years of full-cycle payroll experience in a fast-paced environment
  • Diploma in Business Administration, Accounting, HR, or related field
  • Knowledge of Canadian payroll legislation (Federal and Ontario)
  • Proficiency in Microsoft Excel (including pivot tables and formulas)
  • High attention to detail, accuracy, confidentiality, and ability to manage time effectively
  • Strong communication and interpersonal skills; able to work independently and contribute to a collaborative, inclusive team
  • PCP designation in progress, experience with payroll systems (Ceridian Dayforce, ADP, Kronos, SAP), and exposure to unionized or healthcare environments are considered assets

Working Conditions:

  • This role is eligible for a hybrid work schedule, with 2-3 days per week remote.
  • The position requires reliable internet access and the ability to participate in video calls and team collaboration tools. Occasional travel to long-term care homes or the main office may be required for meetings or training.
  • Standard office hours apply, with some flexibility depending on project needs.
