Position:
Office Services Support
Full-Time, Fully Onsite: Monday to Thursday, 8:45 AM – 5:00 PM; Friday, 8:45 AM – 4:00 PM
Purpose of the role:
The Office Services Support role is a key part of the firm’s daily operations, providing essential support across reception, mailroom, coffee service, meeting preparation, supply management, and general office functions. The incumbent collaborates effectively within a team to maintain a welcoming and professional environment for both clients and staff, delivering exceptional customer service while managing tasks efficiently.
Reports To:
Hospitality Manager
Duties and Responsibilities:
- Provide daily reception coverage and backup support as required;
- Order, unpack, and restock office and kitchen supplies;
- Up-keep of the premises including boardroom set-up, furniture arrangements, catering coordination, and post-event clean-up;
- Process incoming and outgoing mail (regular and registered), ensuring timely sorting and internal distribution;
- Track, process, and coordinate courier deliveries;
- Support the up-keep and cleanliness of kitchen areas on a daily basis;
- Prepare and serve coffee and other beverages for client and internal meetings;
- Set up audiovisual equipment, including TV carts, for meetings;
- Submit and track building maintenance requests through the online portal system;
- Conduct basic ergonomic assessments to assist employees with comfortable and safe workstation setup;
- Provide general assistance across all Office Services functions to ensure smooth daily operations; and
- Other duties and responsibilities as required.
