The Opportunity
Reporting to the Facilities Manager, the Facilities Administrator plays a pivotal role in keeping the Innovation Saskatchewan Research and Technology (R+T) Park in Saskatoon running smoothly. From coordinating contract services to programming and managing the access control system, you’ll help maintain a clean, comfortable and safe space for our R+T Park community.
We are looking for someone who knows the ins and outs of facility management and has experience administering contracts to deliver efficient, high-quality service. You must be organized, adaptable and possess a people-first mindset to help build relationships with stakeholders and create a welcoming environment for R+T Park tenants.

Primary Responsibilities
Duties include but are not limited to:
- Managing the fulfillment of facilities contracts related to janitorial services (e.g., general cleaning, waste management, carpet cleaning), guard services, fitness centre maintenance, campus and building security and workplace safety.
- Providing administrative support for janitorial contracts in Saskatoon, including documentation and janitorial inspection and follow-up.
- Scheduling annual carpet cleaning and floor refinishing.
- Administering building keys and programming access cards in a timely manner, ensuring agency staff, contractors and R+T Park tenants have access to the appropriate facilities.
- Troubleshooting and customizing access requirements for R+T Park tenants in the access control system.
- Collaborating with the Facilities Manager to source new services based on requests from R+T Park tenants.
- Identifying year-to-date and forecasted spending trends to support the Property Management team with monthly variance analysis, quarterly forecasting and annual budgeting.
- Preparing payment authorizations to fulfill facility service contracts.
- Informing the agency and R+T Park community of service offering changes in a clear, timely manner.
- Recommending improvements and identifying opportunities for enhanced security services.
- Providing administrative support for annual workplace safety inspections, including following up with appropriate stakeholders to verify resolution of identified issues.
- Completing an annual review of R+T Park emergency guidelines with the Facilities Manager, ensuring common area emergency evacuation floor plans are in place for all buildings.
- Preparing and administering annual common area furniture and amenity equipment inventory.
- Improving environmental sustainability by working with the Property Management team and R+T Park tenants to identify and implement ways to reduce energy use and minimize environmental impact.
- Assisting in the research, development, implementation, administration and evaluation of various facilities management policies, procedures and processes.
- Supporting Property Management team, as required.
- Performing other duties as assigned.
What We Want from You
- 3 or more years of administrative experience (preferred).
- Bachelor’s degree or diploma in accounting, business administration or commerce (preferred).
- A clear Criminal Record Check (required).
- Knowledge of basic property management principles, contract administration processes and general accounting practices.
- Highly organized with a track record of delivering quality results, while managing competing priorities.
- Delivers exceptional service by prioritizing stakeholder needs and developing strong, professional relationships through clear and effective communication.
- Uses sound judgement and decision-making when working independently or as part of a team.
- Skilled in mediation and negotiation, with the ability to navigate complex situations effectively.
- Proficient in Microsoft Office Suite.
