Distribution Centre Operations Co-Ordinator - Hastings
About the role
Kick off the new year with a role at the heart of our Ngahuia Group Distribution Centre, supporting two of New Zealand’s most iconic footwear brands - Number One Shoes & Hannahs. We’re looking for a motivated and proactive Distribution Centre Operations Coordinator to join us on a fixed term contract until May 2027 to cover parental leave.
Why this role?
You’ll support the Distribution Centre Operations Manager to keep our Distribution Centre running smoothly, while also playing a key role in stock management, people leadership, and operational performance. This is a hands-on, high-visibility role where no two days look the same - perfect for someone who enjoys variety, responsibility, and problem-solving on the go, all while being a whizz in excel.
What You’ll Be Doing:
Operational Support
- Assist the DC Operations Manager with daily operations — and confidently step in to lead when they’re away.
- Provide hands-on support across the floor where needed.
- Assist with time & attendance
- Support across annual stocktake.
- Audit conveyor activity, investigate discrepancies, and provide clear feedback.
- Deliver excellent service when dealing with Stores, Support Hub, and transport partners.
- Manage responses to DC inbox queries and FreshService tickets within expected timeframes.
- Provide cover for the DC Operations Administrator when needed.
Lead Our E-Com Team
- Supervise day-to-day tasks, ensuring orders are processed accurately and on time.
- Train, support and lead the team — stepping up with confidence and calm when challenges arise.
- Spot opportunities to improve processes and efficiency.
- Respond promptly to customer order enquiries.
Stock Management
-
Use Excel at an advanced level to generate reports from scratch — not just running existing templates.
-
This includes confidently applying VLOOKUPs, Pivot Tables, isolating datasets, and extracting specific stock information (e.g., identifying product duplicated across aisles).
-
Complete stock investigations, reconcile discrepancies and manage transfers.
-
Run proactive reporting to identify trends and opportunities.
System Processes & Administration
- Become fully competent in our systems — and troubleshoot when needed.
- Manage pick tasks, reconcile ratio pack allocations, and oversee clear floor adjustments.
- Approve invoices, manage facility maintenance logs, order supplies, coordinate uniforms, and assist with general DC administration.
Reporting
You’ll own a range of reporting, including:
- Weekly & monthly DC output
- Container schedules
- Delay analysis
- Shipping cost per unit
- Plus any other reporting required
Health & Safety
- Support compliance and lead by example.
- Assist with inductions, maintain registers, report incidents, and help drive a culture of wellbeing.
What You’ll Bring
We’re looking for someone who is confident, solutions-focused, and steady under pressure — a natural go-to person when things get busy.
Skills & Experience
-
Advanced Excel ability, including:
-
VLOOKUPs used practically (not just theoretically)
-
Generating reports from raw data
-
Pivot tables for analysis
-
Ability to manipulate large datasets and extract insight
-
Strong Microsoft Office skills
-
Excellent written and verbal communication
-
Experience with warehouse management systems (advantage)
-
Excellent time management and the ability to juggle multiple tasks
-
Ability to maintain confidentiality and work independently
Behaviours & Attributes
- Calm, steady and able to lead confidently when needed
- Able to handle pressure without getting overwhelmed
- Strong interpersonal and relationship-building skills
- Able to problem-solve quickly and think critically
- Collaborative approach with the ability to guide and support others
- Adaptable and able to pick up new systems quickly
Why Join Us?
This role gives you the chance to step into meaningful responsibility, build your leadership capability, and play a key role in the operation and success of our DC. If you want to start the year fresh with a role where you can genuinely make an impact - we’d love to hear from you.
