Candidate Profile
The Receptionist provides support to the Edmonton office, initial point of contact upon entering the office and involves direct interaction with clients. Looking for someone who enjoys a day filled with completing a wide variety of tasks and working with different departments within our engineering firm. You will be responsible for carrying out a variety of tasks that are important to the operation and administration of the organization.
Key Responsibilities
Duties include, but are not limited to:
- Welcome and assist visitors in a friendly, professional manner
- Answer and direct phone calls to appropriate staff
- Provide administrative support for project information
- Handling of drawing and archive file retrieval and scanning
- Manage incoming and outgoing mail, deliveries and couriers
- Book and manage boardrooms, including set-up, tidiness, and clean-up
- Perform data entry with accuracy to input, update and maintain information in electronic databases
- Maintain kitchen, office, and storage area cleanliness
- Operate and maintain a wide range of office equipment
- Maintain a variety of databases (Newforma, Excel, Dynamic 365 CRM, Unanet)
- Maintain stationary stock at various stations throughout office
- Other tasks as required
Professional Qualifications
EDUCATION
- Minimum completion of High School Diploma; Post-Secondary certificate/diploma from an administrative assistant program is considered an asset
EXPERIENCE
- 1 to 3 years of related experience
- Familiarity with the professional services environment would be an asset
SKILLS
- Positive and respectful attitude
- Focused attention on detail and accuracy
- Ability to prioritize, multi-task, and stay focused
- Hard worker who readily and quickly assumes responsibility, who is punctual, dependable
- Intermediate to advanced level skills with Microsoft Word, Excel, PowerPoint, and Adobe Acrobat. A general aptitude for computer usage.
- Working knowledge of database management
- Customer service oriented with exceptional phone and email etiquette
- Fast learner with a desire to grow professionally and personally
- Team player with ability to work independently and with minimum direction
- Demonstrated effective verbal and written communication skills
