About The Opportunity LRO Staffing is partnering with a well-established, community-based organization in Ottawa to recruit a Bilingual Administrative Assistant for an onsite, full-time contract. This role provides a balance of client-facing support and general administrative duties, working closely with multiple teams and leadership. Responsibilities include intake support, administrative coordination, and providing relief coverage for the Centre’s general reception as needed. This opportunity is being recruited to cover a leave of absence and will commence January 5, with an initial three-month contract and the potential for extension.
Duties include but are not limited to:
Administrative Support
- Prepare and format reports, correspondence, meeting materials, and program documentation
- Maintain filing systems, databases, mailing lists, and office supplies
- Order and track program resources and materials
- Support meetings, room bookings, program logistics, and promotional materials
- Manage petty cash, grocery, and transportation vouchers
- Provide basic IT troubleshooting and liaise with IT as needed
Client Intake & Front-Line Support
- Serve as the first point of contact for clients and partners by phone and email
- Complete client intake and registration, including EMR setup and document scanning
- Respond to inquiries regarding services, eligibility, waitlists, and community referrals
- Provide rotational coverage at general reception
About You The successful candidate will have the following:
- High school diploma plus an administrative diploma or equivalent experience
- Minimum 2 years of administrative experience, ideally within social services, or a community-based setting
- Excellent listening, verbal, and written communication skills
- Strong organizational skills, attention to detail, and ability to multitask
- Client-focused, empathetic, and comfortable working with vulnerable populations
- Proficient with MS Office (Outlook, Word, Excel, PowerPoint)
- Fluent in English and French (spoken and written)
- Ability to work independently and collaboratively within a team
- Clear Criminal Record Check with Vulnerable Sector Check
- Double COVID-19 vaccination
- WHMIS and AODA certification (or willingness to complete)

- Location: Downtown Ottawa
- Work Arrangement: Onsite
- Duration: Initial 3 months (potential extension)
- Start Date: Ideally commencing January 5, 2026
- Hours: Monday–Friday, 35 hours/week (typically 8:30–4:30 or 9:00–5:00)
- Hourly Pay: $24.00 - $26.00
