The Administrative Support Specialist will report directly to the Office Administration Manager.

Responsibilities Include:

Responsible for day-to-day calendar management for assigned leader(s) including scheduling, responding to meeting requests, assisting with monitoring deliverables.
-
Coordinates and services internal and external meetings as required; organizing agendas, meeting materials, and attending meetings as needed to take minutes.
-
Point of contact in the absence of the assigned leader(s) for internal and external clients; providing professional service and response to requests for information, redirecting inquiries to others as needed to ensure good client service.

Books travel and provides support to the travel booking process.
-
Completes and submits expense reports on behalf of assigned leader(s) and others being serviced.
-
Tracks and manages requests requiring assigned leader(s) approval.
-
Provides general divisional/regional support to Managers and employees.
-
Assists with professional membership renewals and completes registrations for training, conferences, seminars, and corporate memberships as required.
-
Coordinates and supports corporate events, socials and trainings, as required.
-
Manages divisional and other corporate calendars as required.
-
Monitors and tracks division information, as required.
-
General administrative duties such as preparing, editing/formatting of various documents, reports, specifications and assists with powerpoint presentations.

Provides backup support to administration team members, including Reception and the Office Administration Manager.

Coordinates workstation set up for new hires in their divisions/regions.
-
Provides support for Lunch & Learn coordination.

Other duties as required.
The successful candidate will have the following skills and experience:

Degree or diploma in Office Administration or equivalent preferred.

3-5+ years in office administrative roles
-
Fully conversant with MS Office suite
-
Excellent verbal and written communication skills
-
Excellent organizational and time-management skills
