Job Description:
POSITION PURPOSE SUMMARY:
The Office Assistant provides support during the Christmas season on a temporary basis.
ACCOUNTABILITIES:
The incumbent may perform all, some, or similar range of duties.
- Greet walk ins and assist with booking Christmas Assistance appointments or inquiries accordingly.
- Answer phones to book Christmas Assistance appointments
- Complete reminder phone calls for guests and volunteers
- Enter appointments into Link2Feed Database appointment schedule.
- Answer and/or redirect calls regarding questions about the Christmas Assistance Program and other inquiries as appropriate.
- Print off appointment schedule daily for registration staff and volunteers.
- Consult staff and identify areas of concern in daily schedule.
- Assist with general administrative tasks as needed.
- Manage and/or support other staff/volunteers with difficult and urgent client situations.
- Attend staff meetings and complete necessary training as required.
Perform other position related duties as assigned
WORKING CONDITIONS:
- This is a temporary seasonal position based on 35hrs per week
- Shifts are 8:30am – 4:00pm Monday through Friday, with a ½ hour unpaid lunch. Some flexibility in scheduling may be required.
- The Supervisor will set the hours of work and work schedule.
- The working environment is typically in the office in generally agreeable conditions.
- Required to wear appropriate Salvation Army identification.
- Ability to lift/move up to 10 lbs. (4.5 kgs) in a safe manner.
EDUCATION, EXPERIENCE AND QUALIFICATIONS:
EDUCATION, QUALIFICATIONS AND CERTIFICATIONS:
- Completed High School.
EXPERIENCE AND SKILLED KNOWLEDGE REQUIREMENTS
- A minimum of one (1) year of prior related experience working in community-based programs would be a definite asset.
- Strong skills in all Microsoft Office products and good working knowledge and experience with email and internet-based programs
SKILLS AND CAPABILITIES
- Good organization, strong oral and written communication, and interpersonal skills
- Self-motivated and disciplined
- Participate as an active and responsible team member.
- Ability to represent the organization in a professional and engaging manner.
- Attention to detail, problem solving and analytical skills
- Ability to work with little supervision but also able to accept direction when necessary.
- Maintain information in confidence as required.
- Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
- Treat the property of The Salvation Army with due care and caution.
- Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening.
- Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
Compensation:
The target hiring range for this position is $17.20 to $20.64 with a maximum of $24.77.
Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
