ABOUT THE ROLE

This position is responsible for providing administrative and general HR support to the Total Rewards (TR) division including addressing routine employee inquires; inputting, managing and maintaining electronic and hard-copy files; scheduling JJEC, Dispute Resolution and team meetings; providing daily calendar maintenance on behalf of the Head, TR; preparing correspondence, reports, presentations, and communication materials; processing, monitoring and tracking financial expenditures; and coordinating information requests and departmental reports in accordance with Regional customer service standards.

WHAT YOU'LL BE DOING

  • Provides administrative support to the TR division including drafting correspondence as required, maintaining the contact and portfolio assignment lists for the division, and addressing routine employee inquiries and/or redirecting staff to appropriate contacts.

  • Arranges and coordinates meetings, including daily calendar maintenance for the Head, TR, arranges and coordinates all TR team meetings (both on and off site), prepares and distributes agendas, ensures that facilities are booked, and confirms attendance.

  • Prepares correspondence, reports, assists with creation of presentations and communication materials, and researching and compiling background information and/or materials as required for the Head, TR.

  • Provides support to the Compensation function by scheduling Joint Job Evaluation Committee (JJEC) and Dispute Resolution (DR) meetings and acting as scribe, preparing and distributing correspondence, meeting agendas, Record Sheets and follow-up requests, and managing all electronic and hard-copy Compensation files.

  • Liaises with bargaining unit JJEC, and business management regarding information requests.

  • Arranges registrations for conventions/conferences and accommodations for travel where required for the TR staff.

  • Inputs and files both electronically and hard-copy all JJEC and DR record sheets, job files, and other data.

  • Performs other duties as assigned, in accordance with Branch and Department objectives.

WHAT WE'RE LOOKING FOR

  • Successful completion of a Community College Diploma in Human Resources, Business/Public Administration or related discipline or approved equivalent combination of education and experience.
  • Minimum two (2) years experience in a human resources operation including progressively responsible administrative experience.
  • General knowledge of relevant Compensation and/or Benefits and Pension practices.
  • Knowledge and understanding of a unionized work environment.
  • Demonstrated ability in the Region’s core competencies.
  • Advanced/Intermediate/Basic skills in virtual platforms and MS Office Suite including the use of virtual platforms for conducting meetings and/or presentations (if required).
  • Excellent interpersonal skills and ability to connect with a range of internal and external stakeholders while focusing on fostering collaborative work relationships.
  • Demonstrated experience in organizing meetings, including preparation of agendas, taking minutes, documentation and circulation of minutes with attention to detail and accuracy.
  • Demonstrated ability to research and gather information.
  • Demonstrated writing skills to prepare draft correspondence and reports related to programs and services delivered using templates and from rough copy.
  • Knowledge of general office procedures, preparing documents and records management practices.
  • Knowledge of Branch and Division services and programs and ability to relate information to meet customer needs.
  • Ability to work independently and with teams and with ability to manage competing priorities.
