About the role

PROJECT MANAGER, SPORT SERVICES (CONTRACT - 12 MONTHS)

Headquartered in Montreal & Toronto, the Canadian Olympic Committee (COC) is a national, private, not-for-profit organization committed to high-performance sports excellence. We are the largest private supporter of high-performance sport in Canada and we are responsible for all aspects of Canada’s involvement in the Olympic Movement, including the participation in the Olympic and Pan American Games.

Reporting to the Senior Manager, Sport Services, the Project Manager, Sport Services is responsible for the project management of all aspects of the COC’s Accreditation, Sport Entries and Registration Requirements (Team Registration), processes for Lima 2027 Pan American Games, Dakar 2026 Youth Olympic Games and LA2028 Olympic Summer Games. This includes taking a lead role in team registration information management processes, tools, tracking and reporting for internal and external stakeholders.

LOCATION

This position will be located in the COC office in Montreal, QC, at 500 René-Lévesque Boulevard West. The COC offers a hybrid work model that allows for up to two (2) remote days per week.

CORE RESPONSIBILITIES AND PRIORITIES

Liaison

  • Games Planning Team
  • Business Team, Marketing Partner Programs
  • National Sport Organizations (NSOs) High Performance Staff
  • External Sport Partners such as Canadian Centre for Ethics in Sport, Major Games Canada, Own the Podium, Sport Canada, Coaching Association of Canada
  • Other COC sectors that may play a support role with the delivery of Games key activities
  • International Organizing Committees

Team Selection and Registration

  • Accountable for the accurate and timely submission of accreditation and sport entry reports in accordance with OCOG’s timelines for all applicable NOC categories of accreditation.
  • Lead the planning and delivery of all Team Registration for Team Canada, including the effective integration of all requirements for NSOs, Mission Team and Canadian Delegates following the timelines and milestones for the overall games team.
  • Oversee the distribution and collection of all registration requirements for Team Canada, including but not limited to any agreements, conditions of participation forms, training, background checks to ensure a safe performance environment.
  • Lead training and provide support to NSO Team Leaders and Mission Team for the team registration and nomination on the COC’s Games Management system.
  • Support the Senior Manager, Sport Services to develop and manage the COC’s overall accreditation plan for Dakar 2026, Lima 2027 and LA 2028.
  • For the Dakar 2026 Youth Olympic Games, lead the COC’s overall accreditation plan ensuring optimal team composition for each sport’s performance readiness at Games.
  • Lead the delivery of schedule & results services Dakar Youth Olympic Games, as required.
  • Support the Senior Manager, Sport Services, with preparing all required materials for the Pre-Delegation Registration Meetings (Pre-DRM) and DRM to complete team registration, ensuring the smooth pre-registration of Team Canada.
  • Support the Senior Manager, Sport Services with the preparation of selection material for the COC’s Team Selection Committee for all major Games.
  • Support the Communications team to ensure accuracy of Team Announcements.

Games Management System

  • Work in collaboration with IT and the Project Management Office (PMO) to ensure the Sport department's needs for development of the Games Management System “GMS” (Portal, GMS, GMS Tools) are achieved against the agreed upon timelines.
  • Oversee the timely resolution of maintenance (bugs) related to GMS, provide training and troubleshooting as required, lead the creation and updating of guides and manuals.
  • Lead the collection and updating of content for consumption by athletes, officials, and Mission Team on the COC’s Games Portal.
  • Contribute to the development and implementation of a GMS long term strategic planning.

Team Canada Recognition

  • Lead the at-Games recognition of Team Canada, including but not limited to OCOG Gifting, certificates, medallions and medalist recognition.
  • Oversee the preparation and delivery of pre and post games recognition items including but not limited to partner gifting, certificates, etc.
  • Oversee the production of all aspects of Post-Games Reports.

Project Planning

  • Develop project plan and process for Games accreditation and entries for the Canadian team in accordance with Organizing Committee’s (OCOG’s) timelines.
  • Provide solutions or alternatives to identified sports’ needs and gaps throughout the execution of the project while considering available resources (budget, logistics, human resources, etc.).Consult the Senior Manager, Sport Strategy and Performance Integration during the strategic planning of assigned projects to ensure the sports lens and needs are considered in program delivery.
  • Build strong relationships internally, with NSOs, external partners and OCOG counterparts to facilitate the delivery of sport team registration and nomination process.
  • Review and understand the policies, rules and regulations for accreditation and entries provided by the IOC, International Federation (IF), and Organizing Committee, Pan Am Games, PASO.

People Management

  • Manage the Coordinator, Sport Services including performance management, development, and coaching to help them achieve their personal and organizational objectives.
  • Provide ongoing coaching to the Coordinator, Sport Services through formal and informal channels.
  • Manage any Sport Services Interns as requested, including evaluations, development, and coaching.
  • Contribute to any Sport-specific projects or working groups where applicable.

Special projects

  • This role will also involve contributing to special projects beyond the core responsibilities, as requested. This may include offering innovative solutions to unexpected problems, or leading new initiatives that support the overall vision and mission of the COC.

QUALIFICATIONS AND CRITICAL SKILLS

Education and Experience

  • College diploma or University degree, preferably in a sport related field
  • 4-5 years in multi-sport or international sport event experience and/or proven multi-sport Games experience

Skills and Abilities

  • Advanced knowledge and experience in accreditation, sport entries and other Sport Technical elements of international multi-sport Games preparation
  • Strong understanding of the Canadian Sport System
  • Advanced knowledge and experience in games management system development, or other IT related projects.
  • Strong project management experience
  • Ability to organize, prioritize, manage and monitor multiple projects to successful completion and adapting to shifting priorities under pressure and tight deadlines
  • Impeccable attention to detail and accuracy
  • Strong communication skills (verbal and written)
  • Bilingualism (English/French) preferred
  • Ability to work in and contribute to a strong team environment
  • Strong analytical and critical thinking skills
  • Excellent initiative and ability to use independent judgement and problem-solving skills to make operational decisions

COMPENSATION

The expected salary range for this role is $ 65 400 to $89 870 per year. The base pay within this range is based on a number of factors, including relevant experience, skills, qualifications, internal pay equity, and market benchmarks.
