About the role

Overview Apex is seeking a motivated and detail-orientedOperations Coordinatorto support ourSteel Door Manufacturing Group. This is a full-time,15-month contract positionreporting to the Group Manager.

In this role, you will play a key part in the day-to-day operations of the team, supporting administrative, purchasing, inventory, and customer service functions. This is a great opportunity for someone who enjoys a fast-paced environment and is looking to grow within operations.

Key Responsibilities

  • Prepare and process Sales Orders, Purchase Orders, and Sales Invoices
  • Maintain and update schedules, ERP system (SYSPRO), and Excel trackers
  • Receive and release inventory within system software
  • Order and monitor shop and office supplies
  • Close out jobs and purchase orders, tracking delivery timelines
  • Manage and monitor shop supply inventory (including vending systems), ensuring budget control and accurate tracking
  • Follow up with suppliers on open purchase orders
  • Coordinate shipping logistics, including freight quotes, invoice review, and pickup arrangements
  • Prepare reports, correspondence, and documentation for the management team
  • Maintain organized and up-to-date filing systems
  • Coordinate team meetings and record minutes as needed
  • Provide professional and timely customer support
  • Assist with planning team events and initiatives
  • Identify opportunities to improve efficiency, reduce costs, and support project profitability
  • Track budgets and warranties
  • Provide occasional front desk coverage as required
  • Support additional administrative tasks as needed

What We’re Looking For

  • Previous experience in an administrative, operations, or coordination role
  • Strong organizational and time management skills, with the ability to manage multiple priorities
  • Excellent attention to detail and problem-solving abilities
  • Strong communication and business writing skills
  • Comfortable working both independently and as part of a team
  • Proficiency with Microsoft Office and ERP systems (experience with SYSPRO is an asset)
  • Ability to handle sensitive information with professionalism and confidentiality
  • Adaptability and the ability to thrive in a fast-paced, changing environment
  • Experience with logistics coordination or scheduling is considered an asset
