The Opportunity
We are seeking an Executive Assistant / Office Coordinator who will act as a trusted partner to the CEO and leadership team. This role provides both high-level executive support and office coordination in a small, entrepreneurial organization.
The successful candidate will function as an extension of the executive, anticipating needs, managing competing priorities, and ensuring both professional and personal matters run seamlessly.

Key Responsibilities
Executive & Personal Support
- Manage complex calendars across professional and personal commitments
- Act as a gatekeeper for the executive, prioritizing requests and managing communications
- Coordinate domestic and international travel, including itineraries, visas, accommodations, and ground transportation
- Prepare executive briefing materials, presentations, and correspondence
- Track follow-ups, action items, and deadlines on behalf of the executive
- Handle personal administrative matters such as appointments, reservations, logistics, and special projects
- Maintain strict confidentiality regarding business and personal matters
Strategic & Administrative Support
- Anticipate executive needs and proactively resolve issues before they arise
- Serve as liaison between the executive and internal teams, partners, investors, and advisors
- Support board and investor meetings, including scheduling, materials, and logistics
- Assist with research, data compilation, and reporting as required
- Manage expenses, reimbursements, and liaise with Canyon’s bookkeeper
Office & Operations Support
- Oversee day-to-day office operations to maintain a professional and efficient workspace
- Manage office vendors, services, and supply inventory
- Coordinate onboarding logistics for employees and contractors (building access, parking, workspace setup)
- Support internal meetings, events, and off-site planning

Requirements
- Five years of executive assistant experience supporting a CEO, founder, or senior executive in a small or growing organization
- Background in oil & gas, energy, finance, or professional services
- Experience supporting board-level or investor-facing executives
- Comfort handling personal administrative matters as part of the role
