Research Projects Coordinator -Temporary Full Time - 12- Month
The salary range: $29.70-$37.13
At the Upstream Lab, our research is driven by the desire to promote health equity and address social determinants of health. Our research focuses on four streams: 1) integrating health and social care by addressing social needs of individuals in healthcare settings; 2) population health management; 3) using data to enable proactive care, and 4) conducting trials.
We are currently looking for a full time temporary Research Projects Coordinator to provide operational and strategic support to the Research Program Manager and lab scientists, ensuring efficient execution of research projects, compliance with regulatory requirements, and smooth day-to-day lab operations. This role balances administrative, project management, and consultative responsibilities across multiple research initiatives, staff, and stakeholders. This role offers a unique opportunity for candidates interested in the administrative aspects of research. Unlike many similar positions housed within separate departments, the Research Project Coordinator will be embedded directly within a research lab, enabling close collaboration with scientific teams while supporting the operational and organizational needs of ongoing lab operations.
Administrative and Resource Coordinator
Coordinate and track lab-wide contracts submissions, including follow up on outstanding agreements
Support initiation of research project activities, including preparation of payment forms for Upstream Lab Scientists / post-doctoral fellows
Assist with coordination and administrative support for grant opportunities/submissions for Upstream Lab Scientists
Support Research Program Manager in onboarding of new staff, trainees, research visitors including documentation and logistics
Coordinate hiring logistics, interview scheduling
Assist with coordination of summer student hiring
Maintain and update the Upstream Lab website to ensure accuracy and relevance
Coordinate petty cash processes for Upstream Lab staff
Provide administrative support in REB annual renewals, as required
Assist in the development and refinement of job descriptions for hiring of new staff
Coordinate Performance Appraisal scheduling and documents for staff
Calendar management and scheduling support for manager
Provide backup administrative support and coverage when administrative assistant is away
Strategic & Special Project Coordination
Support process improvements identified by Research Program Manager including staff onboarding process, research training, development and maintenance of SOPs, workflow standardization and rollout of updated procedures
Lead planning and execution of strategic lab and program events/workshops/socials, including scheduling, logistics coordination, materials preparation, attendee tracking, and day-of event support.
Identify process gaps or inefficiencies in lab operations and escalate to the Research Program Manager
Support Research Program Manager in strategic initiatives taken on by the Upstream Lab including coordinating project timelines, tracking deliverables, preparing documentation and briefing materials, facilitating communication across stakeholders
Supporting implementation of approved initiatives including training initiatives, alumni network
Performs Cross Functional and Other Duties as Assigned and/or Requested .
All staff are expected to carry out their assigned duties and responsibilities in a manner which prioritizes patient and employee safety and confidentiality.
Key accountabilities in this regard include:

Strict compliance with patient/employee safety practices and standards.
Appropriate identification, reporting and response to patient/employee confidentiality breaches in accordance with established policies and procedures.
Appropriate identification, reporting and response to patient/employee safety risks and incidents/events in accordance with established policies and procedures.
Qualifications
Minimum undergraduate degree or equivalent combination of specialized experience and education;
Minimum 2-3 years’ experience in lab operations or research administration, project coordination
Software Applications; Microsoft Office, Word, Excel, PowerPoint, Outlook, Adobe Acrobat Reader Pro, Word Press
Comfort level with excel and data management
Experience planning workshops, meetings, lab events, or training programs, including logistics, materials, and scheduling.
Familiarity with REB processes, and supporting grant submissions, such as CIHR
A strong interest in health equity and the social determinants of health, reflecting the Upstream Lab’s mission to address disparities in health outcomes
Strong interest or experience working in healthcare setting and/or research
Team player and strong interpersonal skills
Strong organizational skills, Ability to manage multiple projects, deadlines, and administrative tasks efficiently.
Able to identify gaps, inefficiencies and risks; propose actionable solutions to Research Program Manager
Strong written and verbal communication; able to liaise effectively with scientists, trainees, collaborators, and research staff. Takes initiative and follows direction, as appropriate
Demonstrated ability to work independently and collaboratively with others
Detail oriented, ensures accuracy in documentation, compliance, data entry, and administrative processes.
Time management skills
Ability to exercise good judgment
Able to make routine independent decisions and identify when consultation with supervisors is needed.
Self-sufficient and will look for solutions or answers first before asking for help. Understands when it is necessary to reach out for help.
