Position reports to: Chief Compliance Officer

Position status: Full-time

Position category: Permanent

Location: Calgary, Alberta

Work hours: Monday – Friday 8am – 5pm (40 hours/week - In-Office)

WHAT’S THE BIG IDEA? As our Investor Relations and Compliance Administrative Assistant, you’ll play a key role in ensuring that our investor onboarding, communication, and compliance processes run smoothly and accurately. Reporting to the CCO, you’ll be responsible for carrying out the day-to-day administrative tasks that support regulatory obligations, internal controls, and investor experience. This is a behind-the-scenes role that helps ensure we maintain trust, meet deadlines, and deliver on our promise of service excellence.

HOW DO YOU FIT IN? The successful individual will have the following experience, education, and ability to develop these demonstrated skills:

Education & Certifications

  • Post-secondary education is an asset but not required
  • Canadian Securities Course (CSC) is considered a strong asset
  • Willingness to complete the Dealing Representative course if required

Experience

  • Minimum of 2 years of administrative experience required
  • Experience in a financial institution, investment firm, or regulated industry is preferred
  • Prior experience with investor documentation, compliance reporting, or CRM systems is an asset

Technical & Professional Skills

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); strong formatting and spreadsheet skills required
  • Experience with CRM or investor management systems preferred
  • High degree of accuracy in document preparation, data entry, and proofreading
  • Strong written and verbal communication skills with the ability to draft professional correspondence and reports
  • Ability to work independently, prioritize effectively, and manage multiple deadlines
  • Comfortable working with confidential information and applying discretion
  • Strong organizational and time management skills; able to maintain structure and consistency in work

What You Will Be Doing Investor Relations Support – 65%

  • Support Dealing Representatives with investor onboarding, including document preparation, data entry, and follow-up on outstanding items.
  • Prepare and distribute investment documents, including subscription agreements, KYC forms, and other required disclosures.
  • Complete investment closings and redemptions by preparing closing reports, Trade Approval Checklists, and consolidated Director’s Resolutions.
  • Issue accurate and timely Trade Confirmations and maintain records in accordance with regulatory standards.
  • Maintain investor information in internal systems and portals, ensuring accuracy and currency.
  • Distribute quarterly performance statements and shareholder communications.
  • Assist with the preparation and distribution of annual T5 slips in collaboration with Accounting.
  • Generate monthly and quarterly internal fundraising and compliance reports.
  • Coordinate and compile data for external reporting, including Statistics Canada and securities regulator surveys.

Compliance Support – 20%

  • Ensure all compliance-related activities follow applicable laws (e.g., Real Estate Act, Securities Act, AML, Privacy Act).
  • File accurate F1s for all investment purchases and maintain records.
  • Prepare and submit the CSA Monthly Suppression of Terrorism and Sanctions Report.
  • Maintain up-to-date working knowledge of compliance requirements and how they align with internal policies.
  • Assist with internal and external compliance reviews and audits (e.g., FINTRAC, ARA, UDP reviews).
  • Maintain accurate compliance logs and monitor outstanding items.
  • Carry out compliance-related administrative tasks assigned by the CCO and/or UDP

General Administrative Activities – 15%

  • Maintain up-to-date procedure manuals related to all assigned tasks.
  • Collaborate effectively with internal departments (Accounting, Underwriting, etc.) to ensure seamless investor and compliance processes.
  • Contribute to continuous improvement by identifying gaps or inefficiencies in current workflows.
  • Provide ad-hoc administrative support to the CCO as needed.
