What You’ll Do
We are seeking a motivated and detail-oriented Administrative & Accounting Assistant to support our office operations and project management team. This role plays an important part in keeping our office organized, supporting financial processes, and assisting with project documentation and coordination.
The ideal candidate is organized, proactive, and comfortable working in a fast-paced construction environment. This position works closely with our Project Managers, Project Coordinators, Service team, and accounting processes to help keep projects and operations running smoothly.
Responsibilities
Accounting & Financial Support
- Assist with Accounts Payable by processing vendor invoices and preparing payments
- Assist with Accounts Receivable including preparation of client invoices and tracking payments
- Reconcile credit card and expense receipts and assist with financial record keeping
- Process employee expense submissions and ensure documentation is complete
- Support accounting correspondence and assist with financial inquiries as required
- Work with Project Managers and Coordinators to ensure project costs and invoices are accurate
Administrative Support
- Provide day-to-day administrative support to the office and project management team
- Manage incoming mail, email correspondence, and internal document flow
- Maintain organized digital and physical filing systems
- Order and track office supplies and materials
- Greet visitors and assist with general office coordination
- Assist with preparation of proposals, reports, and project documentation
Project Administration Support
- Assist Project Coordinators and Project Managers with organizing project documentation
- Maintain project folders, drawings, and document control systems
- Support preparation of shop drawing packages and project documentation
- Assist with purchase orders, vendor communications, and material coordination
- Coordinate scheduling for inspections, site visits, and project logistics when required
HR & Training Support
- Assist the HR team with onboarding documentation and employee record management
- Track and coordinate training, certifications, and license renewals for staff
- Help coordinate training sessions and compliance documentation
Service Coordination (Relief Support)
- Provide occasional support to the Service team by assisting with scheduling service calls
- Communicate with customers regarding service appointments when required
- Maintain service documentation and internal service records
Qualifications
- Previous experience in office administration, accounting support, or construction administration preferred
- Experience with Accounts Payable, Accounts Receivable, or bookkeeping support considered an asset
- Strong organizational and document management skills
- High attention to detail and ability to manage multiple priorities
- Strong communication and interpersonal skills
- Comfortable working with software systems and digital documentation tools
- Professional and collaborative approach when working with team members and clients
- Experience with systems such as QuickBooks, Dext, Knowify, or similar accounting/project tools is an asset
