Reports to: Manager of Fund Development and Communications

Program/ Department: Fund Development and Communications

Start Date: ASAP

Part-Time: Three days, 26.25 hours per week

Pay rate: $30.98 per hour

This is a U5 Step 1 rate in accordance with the salary scale in the Collective Agreement between Salal Sexual Violence Support Centre and MoveUP (COPE, Local 378).

Union: This is a Unionized position. Salal Sexual Violence Support Centre's Union Representation is with MoveUP, (COPE, Local 378).

Remote Working: This is an in-office position with availability for some remote work as directed by management.

Job Summary

The Stewardship Coordinator is responsible for executing Salal Sexual Violence Support Centre’s donor and community stewardship strategies and is often the first person donors contact for support and assistance regarding their giving. The Stewardship Coordinator adheres to and enhances the annual stewardship calendar, recognizes gifts and donations, coordinates gift receipting, and supports print, digital, and in-person stewardship, as well as donor meetings.

The Stewardship Coordinator is also responsible for the maintenance and updating of the Donor CRM. Supports with all fundraising and engagement campaigns and produces stewardship collateral including newsletters, reports and emails, impact reports, executes stewardship logistics including merchandise orders and mailings, and adheres to all fundraising program deliverables. As a member of the Salal Sexual Violence Support Centre team, the Stewardship Coordinator will actively engage in events, social justice activities and other related community work.

Salal Sexual Violence Support Centre is a feminist, anti-oppressive, decolonizing not-for-profit organization who changes society through advocacy, outreach and education. Operating on unceded Coast Salish Territories, Salal Sexual Violence Support Centre advocates for and provides counselling and victim services support to survivors of all marginalized genders who have experienced violence in intimate relationships, sexual assault, and/or childhood sexual abuse. Work Performed

Fundraising Stewardship Program

  • Serve as the primary point of contact for donors, providing exceptional service and responding to inquiries about their giving in a timely and warm manner
  • Lead, review and enhance the Annual Stewardship Calendar ensuring timely, coordinated donor stewardship occurs
  • Manage and advance Salal Sexual Violence Support Centre’s stewardship strategy to recognize and steward many kinds of donors, including: major donors, foundations, corporations, individual donors, monthly donors, donors who donate in-kind, peer to peer fundraisers and new donors
  • Monitor trends in donor attrition, renewal, and upgrade rates; support the development and execution of strategies to improve retention, particularly for monthly and annual donors
  • Generate print and digital stewardship content, including thank you letters, thank you cards, gift receipt confirmations, stewardship reports, new donor packages, video thank you messages and reference receipts; provide guidance to program staff, board members and volunteers supporting with these tasks
  • Coordinate meaningful stewardship activities to express gratitude to donors, including personalized meetings and the delivery of appreciation packages
  • Ensure monthly donor tax receipts are generated and distributed, and collaborate with the Fund Development Team to confirm that all tax receipts are being generated and mailed in a timely manner
  • Connect with lapsed monthly donors to renew their support and strengthen their connection to Salal
  • Call donors to express gratitude and organize Thank-a-Thons in a timely, coordinated manner, aligned with other donor communications
  • Participate in and support Salal Sexual Violence Support Centre’s fundraising strategies by adapting, confirming or suggesting stewardship opportunities for specific campaigns
  • Provide admin support for the Fund Development team including social media and digital content generation
  • Execute initiatives guided by program guidelines and procedures adjusting as required to manage and meet predetermined timelines

Data and Administration

  • Process fundraising program invoices from vendors, and support with the coordination of invoices for Salal Sexual Violence Support Centre’s revenue as required
  • Oversee weekly and monthly mail outs: including new donor packages, tax receipts, stewardship packages
  • Update and maintain Salal Sexual Violence Support Centre’s CRM with notes from donor conversations, prospecting and stewardship information and general donor information (change of address, RTS mail deceased donors etc.)
  • Use Salal Sexual Violence Support Centre’s CRM to generate tax receipts and mail or email them to donors as required
  • Coordinate the design and production of stewardship materials including merch (pens, t-shirts, stickers) envelopes for printing etc.

Operations

  • Attend all required Salal Sexual Violence Support Centre team meetings (e.g. staff meetings, training)
  • Participate on a minimum of one Salal Sexual Violence Support Centre committee
  • Provide support and guidance to team members and/or volunteers within area through work assignment, guidance, and monitoring
  • Participate in supervised settings with Manager of Fund Development as required
  • Participate in yearly performance appraisal
  • Ensure responsible use of Salal Sexual Violence Support Centre resources
  • Adhere to all Salal Sexual Violence Support Centre policies and procedures
  • Perform other related duties as required by the Manager of Fund Development

Working Conditions

Salal Sexual Violence Support Centre acknowledges that our work environment is directly impacted by all forms of oppression and the impact of colonialism. In this role, the Stewardship Coordinator will frequently witness the impact that violence has on Salal Sexual Violence Support Centre’s service users and, by extension, the staff.

The pace of work for the Stewardship Coordinator is not always controlled by the employee. This position is frequently faced with multiple demands/tasks with time pressures to finish.

Consequences of Error/Judgement

This position requires judgment, tact, discretion, and initiative. Errors may result in moderate cost, loss of time and/or may impact the effectiveness and ability to continue operation of certain programs for clients, which could damage the reputation of the organization. Poor judgement or ineffective communications with relevant institutions, community partners, and clients could result in strained relations that compromise the effectiveness and credibility of Salal Sexual Violence Support Centre.

Qualifications

  • Post-secondary diploma in a relevant field (fund development, women’s or gender studies, sociology, psychology, communications), or equivalent combination of experience and education
  • 2-3 years of experience in fundraising, donor relations, or stewardship, preferably in a nonprofit
  • Minimum of 1 year experience with Raiser’s Edge Database
  • WordPress, and InDesign, Canva or other graphic design software experience is an asset
  • Highly organized with exceptional attention to detail and the ability to manage multiple projects simultaneously
  • Excellent verbal, written, and interpersonal communication skills, and an ability to work cooperatively in a collaborative work environment
  • Ability to center donor experience and establish and maintain positive relationships with donors
  • Experience in working within an anti-oppressive, intersectional feminist framework or approach
  • Demonstrated success in working effectively with individuals from diverse backgrounds (e.g. cultural, religious, age, sexual orientation, etc.)
  • Satisfactory completion of a criminal record check with vulnerable populations

Salal Sexual Violence Support Centre is a feminist, anti-oppressive, decolonizing rape crisis centre operating on unceded Coast Salish Territories in Vancouver, BC since 1982. Salal provides support services to survivors of sexualized violence with shared experiences of gendered oppression: women, Two-Spirit, trans and/or non-binary people.

Salal's work can be summarized in two key actions we take: we support survivors, and we shift society. We support survivors through our 24-Hour Crisis and Information Line, support accessing the medical and legal systems, and one-to-one and group counselling. We also conduct a program that specifically serves Indigenous survivors and family members of Missing and Murdered Indigenous Women, Girls, and Two Spirit People, as well as a program for gender diverse survivors. We shift society through our educational outreach program, working with teachers, students, and service providers to change the rape culture we live in.
