About the Role:
The Client Care Coordinator plays a pivotal role in ensuring exceptional service delivery within the health care services sector by acting as the primary liaison between clients and health care providers. This position is responsible for managing client inquiries, coordinating appointments, and facilitating communication to enhance the overall client experience. The role requires a compassionate and organized individual who can handle sensitive information with confidentiality and professionalism. By efficiently managing client care logistics, the Coordinator contributes to the smooth operation of health care services and supports positive health outcomes. Ultimately, this role is essential in fostering trust and satisfaction among clients while supporting the broader health care team in delivering quality care.
Responsibilities:
- Serve as the first point of contact for clients, addressing inquiries and providing information about available health care services.
- Schedule and coordinate client appointments, ensuring optimal use of provider availability and client convenience.
- Maintain accurate and confidential client records in compliance with privacy regulations and organizational policies.
- Collaborate with health care professionals to facilitate seamless communication and follow-up on client care plans.
- Assist in resolving client concerns or issues promptly and escalate complex cases to appropriate personnel when necessary.
- Support administrative tasks such as processing referrals, managing waitlists, and preparing client documentation.
- Contribute to continuous improvement initiatives by providing feedback on client service processes and identifying opportunities for enhanced care coordination.
Minimum Qualifications:
- Post-secondary education in health administration or related field is preferred.
- Minimum of 2 years experience in a client-facing role within a health care or service-oriented environment.
- Proficiency with electronic health records (EHR) systems and standard office software (e.g., Microsoft Office Suite).
- Strong understanding of confidentiality and privacy standards related to health care information.
- Excellent communication skills, both verbal and written, with the ability to interact empathetically with diverse client populations.
Preferred Qualifications:
- Certification in medical office administration or health care coordination.
- Experience working within Canadian health care systems and familiarity with provincial health regulations.
- Bilingual abilities in English and French or other languages commonly spoken in Canada.
- Training in conflict resolution or customer service excellence.
- Knowledge of community health resources and referral networks.
Skills:
The Client Care Coordinator utilizes strong organizational skills daily to manage multiple client schedules and maintain accurate records, ensuring efficient service delivery. Effective communication skills are essential for interacting with clients, health care providers, and team members to facilitate clear and compassionate exchanges of information. Proficiency with electronic health records and office software enables the Coordinator to document client interactions and appointments accurately while maintaining confidentiality. Problem-solving skills are applied when addressing client concerns or coordinating complex care needs, ensuring timely resolution and client satisfaction. Additionally, interpersonal skills foster a supportive environment that respects client diversity and promotes trust within the health care setting.
