Classification Summary - Union
Do you have a passion for working in Real Estate and Public Service? Join our Real Estate team and make a difference! The Legal & Administrative Coordinator manages departmental administrative systems and office services, ensuring that day-to-day administration of the senior managers’ offices is professional and efficient. This role also provides real estate and legal administrative support including reviewing legal documents for accuracy and adherence to legal best practices, liaising with internal and external legal service providers, and submission and registration of legal documents.
Duties - Union

Provides administrative and budget support for branch managers, department managers, and divisional director.

Provides technical guidance, coaching, instruction and direction to administrative staff within the department and coordinates work assignments.

Coordinates divisional council reports and assists with preparation of presentation documents.

Prepares draft initial agreements/contracts for review and authorization.

Coordinates with the City’s legal firm to ensure legal processes and agreements comply with statutory requirements and industry best practices.

Prepares conveyancing and transfer documents and, when appropriate, finalization and registration of purchase and sale agreements.

Works together with managers to ensure contractual commitments and requirements are met; coordinates delivery of key documents to City’s legal firm; facilitates registration of documents at Land Titles as appropriate.
