Job Overview

We’re looking for a detail-driven, proactive Service Administrator to join our team and help keep our projects running like clockwork. If you thrive in a fast-paced environment, enjoy working with both data and people, and love bringing order to complexity—this role is for you!

Reports to: Manager, Planning and Administration

Shift: 5 x 2, Monday – Friday, 8 hours per day

Term: 15 months

Safety Sensitive: No- RCMP criminal record check and submission of 5-year provincial driving record will be required

Travel: up to 15% travel required within Canada

Relocation: This position does not offer relocation

Key Job Responsibilities

  • Monitor and analyze project costs (labor, materials, services) throughout the lifecycle to flag issues early and keep budgets on track
  • Create, update, and close Service Orders in SAP, ensuring every stage reflects accurate cost allocation
  • Support resource planning by issuing labor confirmation numbers and tracking usage
  • Help operations teams stay aligned by verifying correct purchase order references and labor codes
  • Track and report on change request costs to maintain transparency and control
  • Create purchase requisitions for materials and services based on project budgets
  • Reconcile purchase orders and assist with cost reporting and accruals
  • Issue timely purchase requisitions and support purchasing in closing POs
  • Generate Sales Order Acknowledgements and ensure paperwork is accurate and complete
  • Contribute to continuous improvement by documenting and refining admin processes

Qualifications/Requirements

  • 1–2 years of administrative experience, ideally with exposure to cost accounting or project coordination
  • A self-starter attitude—you’re comfortable working independently and taking initiative
  • Strong communication skills and a customer-first mindset
  • Impeccable attention to detail and a knack for staying organized
  • Ability to juggle multiple tasks and meet deadlines without breaking a sweat
  • Familiarity with SAP is a plus
  • Proficiency in Microsoft Office (especially Excel, Word, and Project)
