As a Project Coordinator, you’ll be a key contributor, supporting event-based projects and programs from concept to completion. You’ll manage attendee requirements, coordinate communications, and ensure projects are delivered seamlessly - on time, on budget, and to the highest quality standards. Working with top-tier clients in a fast-paced environment, you’ll help drive project growth and build strong, lasting relationships.

As the Project Coordinator, you will:

  • Support the Project Manager and/or Sr. Project Manager in delivering assigned projects and programs, providing day-to-day client service and coordination.
  • Establish and maintain trusted, effective client relationships; participate in client meetings and prepare agendas, contact reports, and related documentation.
  • Manage attendee requirements for event-based projects, including registration website development, attendee list oversight, personalized communications, and quality control of participant information.
  • Coordinate project activities - tracking schedules, budgets, financials, scope changes, and documentation - to ensure delivery within agreed timelines and standards.
  • Help develop and maintain project critical paths and timelines; assist with the creation of project budgets for client approval.
  • Conduct platform testing for event-related technology tools, identify issues, and escalate to the Project Manager/Sr. Project Manager as needed.
  • Create and maintain desk procedures to support consistent and efficient project workflows.
  • Organize and schedule project, team, and client meetings; ensure timely flow of information, updates, and commitments among stakeholders.
  • Participate in other sector-specific activities and projects as assigned.

Your Background:

  • 2–3 years’ experience in project or client-focused environments; automotive industry and/or event-based project experience an asset.
  • Proven ability to deliver results under tight deadlines while managing multiple projects in fast-paced, changing environments.
  • Strong planning, organization, and time management skills; experienced in managing budgets, critical paths, and competing priorities.
  • Highly adaptable - works effectively both independently and collaboratively; comfortable navigating ambiguity.
  • Excellent written and verbal communication skills; skilled in documentation, detail management, and delivering quality, client-focused service.
  • Quick, proactive learner with a hands-on approach and ownership of outcomes.
  • Digitally savvy; proficient in MS Word, Excel, PowerPoint, and Outlook.
  • CVENT experience an advantage, including event registration, attendee management, on-site solutions, website creation, reporting, and use of CVENT tools for seamless execution.
