Western’s Schulich School of Medicine & Dentistry is a leading Canadian centre of outstanding education and research shaping health care for the next generation. The Schulich School of Medicine & Dentistry is the largest Faculty on campus and employs over 2,000 part time and full time faculty and staff.

Key Goals of the Unit:
- Leaders and employees are provided with accurate and timely information, advice, and guidance to influence decisions based on professional HR expertise
- Strategic recruitment and selection of talent, including Academic Leaders, to achieve the objectives and initiatives as set out by the University and School.
- Well-designed work and continually improved systems.
- Constructive and collaborative culture at Schulich and Western.
- Legal, operational, and financial risks of the University and individuals are well managed
Responsibilities
The Summer Student - HR Assistant will assist with the implementation of human resources functions, and provide administrative support pertaining to human resources practices, policies and procedures to ensure smooth operations within the Department. The role will act as a first point of contact, and provide information, in compliance with Western policies, procedures, collective agreements, and government legislation. The Summer Student – HR Assistant will compile and maintain confidential information in accordance with departmental and Human Resources policies and procedures.
- Assists with the implementation of human resources functions, which includes coordinating appointment and re-appointment processes for staff, preparing documentation for review, and updating personnel, in adherence to all collective and employee agreements, relevant legislation, and University policies and procedures
- Supports part-time staff recruitment processes
- Maintains and updates websites, and participates in ensuring website content is aligned with the operational and strategic direction of the Department
- Acts as a first point of contact related to human resources inquiries, providing updates, information and responding or referring to other sources as required
- Effectively handles confidential and sensitive information in compliance with policies and procedures
- Compiles and maintains confidential spreadsheets, files, data and information relating to human resources activities, and generates reports as required
- Researches issues with subject matter experts and assists with projects/events as required
Qualifications
Education:
- Undergraduate Degree in progress with a focus in Business Administration
- Must be a student returning to studies in the fall
Preferred: Bachelor of Management and Organizational Studies, Business Administration
Experience:
- Previous work experience providing administrative support to an organization
Preferred: Previous work experience in a Human Resources department
Skills, Abilities & Expertise:
- Written and verbal communication skills to express ideas clearly, and adapt communication style to suit the situation and audience
- Ability to maintain a positive, outgoing attitude with genuine customer service orientation
- Reliable and dependable with the ability to consistently work assigned schedule
- Ability to follow processes and practices with high attention to detail
- Demonstrates integrity and works in accordance with Western’s policies and procedures
- Ability to multi-task and maintain an organized work environment
- Computer skills with Microsoft Office, with the ability to learn and use new software programs as required
- Personable and courteous in working relationships with colleagues, students and the public
- Ability to work independently and effectively as a member of the team to achieve department goals
- Ability to work in a manner that is compliant with confidentiality requirements as applicable
