Your opportunity:

Student Housing & Residence Life (SHRL) is a department within Student Affairs at UTM. As part of the Housing Services Team and reporting to the Supervisor, Residence Operations, the Residence Operations Assistant (ROA) is responsible for providing administrative/operational support to the department of Student Housing & Residence Life. The ROA supports the Off-Campus housing portfolio, residence and conference operations. The Residence Operations Assistant will assist management in efforts to maximize occupancy, coordinate incoming and outgoing students, inform decision-making, and accurately plan for upcoming cycles. The ROA is responsible for day-to-day access control, technology and supply orders.

The Residence Operations Assistant will provide excellent customer service to current and prospective residence students, staff, guests and contractors and assist in resolving inquiries and concerns as they arise. The position also provides administrative support to key Student Housing & Residence Life leadership including the Director, Student Housing & Residence Life.

Some evening and weekend work required.

Your responsibilities will include:

  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Providing detailed information on Residence, eligibility requirements, procedures and deadlines
  • Resolving minor complaints within the scope of the role and referring larger issues when appropriate
  • Fostering positive relationships with students, parents and the general public
  • Collating and organizing data for various reports
  • Updating and maintaining records in StarRez
  • Formatting and maintaining communication templates
  • Providing orientation to others on work procedures and practices

Essential Qualifications:

  • Completion of a 3 year College Diploma in a related discipline (such as businessadministration, education, sociology or psychology) or an equivalent combination of education and experience. University degree is preferred.
  • Minimum three (3) years of (student and/or professional) related operational and/or customer service experience, residence experience preferred.
  • Experience with the operational management databases (e.g. StarRez) is required
  • Experience and demonstrated ability to analyze data and produce effective Excel reports
  • Demonstrated experience with Office 365 and formula and functions in Excel
  • Advanced computer skills in the use of Office 365, including Word, Excel and PowerPoint. Must be able to set up Excel spreadsheets utilizing advanced formulas and functions
  • Strong customer service skills required
  • Excellent written and verbal communication skills required
  • Strong interpersonal skills with an ability to work with others in a cooperative and effective manner required
  • Superior organizational and problem solving skills required
  • Ability to effectively manage deadlines and priorities required

Assets (Nonessential):

  • Experience in Student Housing and Residence Life (student staff or professional is an asset)
  • Knowledge of the University of Toronto Mississauga and its student services is an asset
  • Commitment to improving and enhancing the student experience in the residence and university
  • Experience providing administrative support to others is an asset
